This position is an integral member of the Residential Team. The position works at a location West of Calgary.

The position works the following two-week schedule:

Week 1:
Sunday - Off

Monday 8am-4pm

Tuesday 8am-4pm

Wednesday/Thursday - Off

Friday 2:30pm-11:59pm

Saturday 12am-11:59pm


Week 2:
Sunday 12am-11:59pm

Monday 12am-9am

Tuesday 8am-4pm

Wednesday/Thursday - Off

Friday 8am-4pm

Saturday - Off


The Admin Assistant/Youth Program Coordinator is responsible for the general well-being of two teenagers and at times, and other visiting family member children (youth) who visit.

The incumbent will be responsible for assisting the teenagers, growing their independence, monitoring schoolwork, scheduling of calendar logistics and general well-being/health and education of the children.

All tasks are completed in accordance with the beliefs and parenting-style of the parents, while at the same time ensuring flexibility for the parent's personal schedules.

During the admin assistant days, the incumbent will be responsible for helping with all office admin tasks.

The duties include, but are not limited to, the following:


  • Assisting parents with all aspects of development and independence including overseeing their personal care, schoolwork and other learning curriculum, managing computer time, etc;
  • Updating a schedule/calendar for youth activities;
  • Communicate, when needed, with teachers and school;
  • Instilling good manners and a sense of responsibility, independence and discipline when necessary as per family parenting style;
  • Create an environment that will stimulate age appropriate learning and socialization, and emotional security;
  • Ensure safety and wellbeing of youth at all times;
  • Morning school prep, driving to school, pickup of youth from school, as requested;
  • Transport to and from various appointments/activities after school and keeping detailed expense reports of personal expenses related to these business trips;
  • Assisting with general housekeeping every shift as assigned by the Property Manager when youth do not require supervision;
  • Be willing to participate in extra projects, including but not limited to, family matters unrelated to the specifics of this job description;
  • Housework/reset of the children's spaces at the end of each week and occasional cooking for the children; possible pickup of items for the children when needed;
  • Provide filing assistance in the home office;
  • Ensure office is stocked of necessary consumables (e.g. paper, folders, etc.) and order supplies when necessary;
  • Liaise with other staff members regarding their admin needs;
  • Special projects as assigned by the Property Manager;
  • Provide backup support to the other staff in the home when it is needed;
  • Be able to keep all schedules and activities of all family members, in the strictest confidence;
  • Be available on short notice, while on shift, to meet the needs of the family;
  • Always provide a highquality personal appearance and positive approach to their work;
  • Maintain a low profile and ensure everything read and heard in the line of duty is kept strictly confidential;
  • When other family member's children are visiting:
  • Encouraging them to interact with the three teenagers,
  • Assist in encouraging the visiting children to learn to ride horses, play tennis, work on the ranch, and do all outdoor activities at a nearby ranch,
  • Assist the Property Manager in planning a threeday Ranch summer camp each year; and
  • Other duties as assigned.

Qualifications:

To meet the challenges of this role, the incumbent will:

  • Have at least two (2) years' experience with youth;
  • Have at least one (1) years' experience working in an office setting;
  • Undergo a background check with successful result;
  • Possess a current first aid and CPR certification and upgrade annually your certification;
  • Hold a valid driver's license and a clear drivers' abstract and take a collision course through AMA paid for by the company;
  • Have reliable transportation to get to/from the worksite;
  • Be able to meet all physical requirements of the position which includes lifting, walking, stairs and activities with the children;
  • Be adaptable, flexible and function effectively in a team environment;
  • Be willing to provide top priority services as directed to the company, its Shareholder and his family;
  • Be willing to work the required hours to complete the responsibilities assigned; and
  • Be able to travel locally, occasionally to the United States and potentially partake in international travel and must have valid passport and/or travel visas.
