    Reporting : This position will report directly to the Team Lead, Conveyancing

    Key Responsibilities:

  • Review of sales contracts to ensure complete and accurate information; escalate follow-up on incorrect or missing information as needed; track sales contracts as conditional/firm to possession. Raise potential issues to the attention of the Team Lead, Conveyancing.
  • Maintain accurate and organized electronic customer files.
  • Coordinate deposits for home sales both internally and with legal counsel.
  • Maintain showhome leaseback program (new leases, renewals, start payments with AP).
  • File change orders in electronic customer files.
  • Coordinate the release of files to preconstruction.
  • Create and send possession packages to customers and lawyers.
  • Register and commence ANHW for new home sales.
  • Initiate key release process once confirmed funds are received on closings.
  • Review and submit realtor commissions for processing.
  • Cheque requests as needed.
  • Assist with property tax and supplementary tax reconciliations.
  • Manage time, resources, workflow and deadlines with multiple demands.
  • Keep databases up-to-date, inputting information etc.
  • Other tasks and responsibilities as assigned to support the Conveyancing team.
  • Working Conditions: Traditional core office hours are Monday to Friday 8:00 am to 5:00 pm.

    R equirements:

  • 1+ years of conveyancing, real estate and/or legal assistant experience in-house at a law firm or at a real estate brokerage;
  • Familiarity with Lotworks, Newstar, Salesforce, beneficial but not required;
  • Familiarity with the Land Titles Office and SPIN beneficial but not required;
  • Ability to manage confidential information;
  • Proficiency in Microsoft Office: Outlook, Word, Excel, Teams and SharePoint;
  • Proactive, results focused, with ability to work on multiple projects simultaneously;
  • Proven ability in dealing with internal and external clients;
  • Work independently and in a team setting;
  • Excellent verbal and written communication skills, including strong proof reading, grammar and editing skills;
  • Excellent attention to detail and commitment to deadlines;
  • Must have a demonstrated positive and proactive approach and be prepared to be flexible in the work performed;
  • Proven track record of good attendance and job performance.
