Description

Hours:
Part-time position, average 8-15 hours per week, to a maximum of 18.5 hours per week.

Requires a flexible schedule, (including evening and Saturday shifts), and the ability to work at both the Victoria and Langford locations.

Hours may increase or be reduced seasonally.


Compensation:
$19.00 per hour; with a potential pay increase after 6-month probationary period.

The Conservatory front desk administrative team is a small, dedicated group of 5 or 6 staff who collaborate each day to support our wonderful students and faculty.

Under the supervision of the Registrar, this position requires an energetic, friendly, patient, and resourceful person to serve as the first point of contact for Conservatory students, parents, clients, and faculty.

Key Responsibilities

  • Providing excellent internal and external customer service.
  • Reception: Answering multiline phone; directing and screening calls; assisting walkin clients; practice room allocation.
  • Registration: Registering students for lessons; providing reports on registrations as required by administration and faculty.
  • Payment Handling: Processing payments for lessons, donations and other Conservatory products; followup on Accounts Receivable; dayend cash and cheque reconciliations.
  • Administration: Assisting with administrative task, registrations followups, or organizing events or summer programs.
  • At times, may include Front of House Coordinator shifts: manages volunteer ushers, handles ticket sales, and oversees Venue traffic and entrance.
Qualifications and Requirements

  • Ability to multitask and exercise good judgment when prioritizing assigned duties.
  • Ability to work independently while maintaining excellent communication with management.
  • Ability to exhibit a professional and positive attitude with a commitment to quality service.
  • Working knowledge of Word, Excel, and Outlook.
  • Ability to complete timesensitive assignments with accuracy and attention to detail.
  • Ability to work under pressure, remaining calm and focused during highvolume registration periods.
Education and Experience

  • Recent experience working in an educational or office environment.
  • Experience working with business software systems.
  • Preference given to those with a postsecondary credential.
  • Cashhandling experience considered an asset.
  • Music background and/or formal education considered an asset.
  • First aid certification, or willingness to obtain.
