The Opportunity:
Operations Assistant will report to Operations Manager and act as a primary resource for the Operations Department.

This role is responsible for working collaboratively with the building operators, vendors and tenants as the administrative support primarily for the BC operations team.


What You Will Do:


Daily Administration

  • Order stationery and supplies for the Operations department (including employee uniforms, visa cards, business cards, name tags).
  • Oversee periodic reporting and scheduling for building operations team, including:
  • Create On-call schedule and maintain calendar updates for Building Operators;
  • Track and distribute vacation and holiday schedule; On-Call schedules, overtime and timeinlieu;
  • Process milage claims.
  • Assist in the selection and performance tracking of vendor services, including preparation of requests for proposals and Service Agreements.
  • Perform regular periodic reviews to ensure all documentation on file is up to date.
  • Assist with accounts payable, including coding and payment of expenses.
  • Keep abreast of new developments and industry standards and practices for sustainable building operations.
  • Arrange uniform dry cleaning and assist with proper and safe disposal of old uniforms.
  • Staff allocation tracking; timesheets, time in lieu or as required.

Occupational Health and Safety

  • Assist with scheduling and tracking OHS and other mandatory trainings.
  • Plan OHS meetings and take detailed minutes.
  • Assist with Workplace Hazard Inspections enter data to the system and track submissions by the team.
  • Prepare environmental checklist for properties and track updates in the system.
  • Arrange annual hearing tests with contractors.
  • Proactively support BGO's culture of environmental responsibility and social responsibility, and lead efforts to demonstrate the organization's commitment to sustainability and responsibility.
  • Initiate, organize, conduct, and participate in community and charitable events that involve the building, its tenants or tenant employees.
  • Any other duties as required from time to time.

Who You Are:


  • College Diploma an asset
  • 25 years of relevant administration experience;

Interpersonal skills: Ability to communicate effectively, both orally and in writing; ability to build and maintain cooperative and positive work relationships with a variety of individuals;

Organizational skills and versatility: Ability to effectively manage time, work under pressure and deal with deadlines; ability to process multiple requests and concurrent priorities, and adapt to new concepts and constant change; attention to detail and accuracy;

Decision-making skills: Ability to solve problems based on facts and effective reasoning; ability to achieve goals based on a strategic approach; recognized as innovative, with a willingness to manage and adapt to change;

Computer-related skills: Advanced knowledge of Word, Excel and Outlook.

Police Clearance: A criminal verification check is required for employment.
