Human Resource Manager - Job Description


Hours of Work:

The Office Manager will work 37.5 hours per week and as deemed necessary.

The work hours will be from 8:30 am to 4:30 pm on regular weekdays with an unpaid half hour lunch period and two fifteen minute paid breaks.


Salary & Benefits:

The salary will be at the discretion of the owner; the benefits, as per the existing in-home benefit package.


Summary:

The Office Manager is to assist the Administrator

  • To ensure superior accounting practices for accounts payables, receivables and payroll
  • To liaise with Residents/Families during admission and annually regarding
Admission Contract.

  • To liaise with Residents/Families
  • To ensure Labour Relation and HR matters

Key Performance Measures:

The Office Manager can rely on the following tools to monitor her performance:

  • Accounts Receivable
  • Resident Agreement
  • Resident Satisfaction results
  • Employee Satisfaction results
  • Family Satisfaction results
  • CQI results

Key Accountabilities
The Office Manager is responsible for the following sectors:


Business Planning & Monitoring:


Accountable for:

  • Participating in the development of the annual business plan, operating budget, marketing plan, and Continuous Quality Improvement (CQI)/Risk Management plan.
  • Implementing, monitoring, and achieving all approved office budgets and plans, implementing corrective strategies when there is a budget/plan variance to ensure the overall achievement of objectives.
  • Ensuring that office duties and functions are carried out in a confidential, efficient, accurate and timely manner, in accordance with Sarsfield Colonial Home policies and procedures.

Resident Care and Services:


Accountable for:

  • The business files of Residents Suppliers, and Service Contracts.
  • Resolving issues related to Resident/Family complaints which have been raised within the home about the business office.
  • Promoting the Resident Bill of Rights.

Human Resources:


Accountable for:

  • Scheduling, job posting
  • Payroll, Benefit & Group RSP
  • Employees file confidentiality
  • Updating lists & communicating administrative information to employees
  • Monitoring of absenteeism
  • Reinstructions, disciplines
  • Followup with staff concerns
  • All Labour Relations
  • Ensuring Confidentiality of the employee files

Marketing:


Accountable for:

  • Actively promoting the home in accordance with prescribed standards, policies and programs.
  • Representing Sarsfield Colonial Home in the external marketplace in accordance with the values and views of the Company.

Property Management & Supply Chain:


Accountable for (if Administrator is away):

  • Ensure appropriate supply and maintenance of all office equipment required to effectively operate the business office in accordance with Sarsfield Colonial Home standards and in compliance with legislative and regulatory requirements.

Managerial Accountabilities:


Accountable for:

  • Establishing effective working relationships with peers by: o Soliciting opinions related to the work environment, potential changes and continuous improvement opportunities. o Participating in building and sustaining a highperforming team whose members are capable of delivering the work to meet performance goals. o Promoting and optimizing teamwork.

Labour Relations:


Accountable for:

  • Administering the home's collective agreement(s) on a daytoday basis with respect to payroll services and human resources.

General Duties:


Accountable for:

  • Cochair of the Health & Safety Committee
  • Taking meeting minutes
  • Telephone and filing
  • Attendance to the CQI/Labour
  • Management / Annual / JHSC
  • Word Office Computer tasks: letters, memos
  • Updating lists, emergency bags content and manuals
  • Newsletters
  • Any other duties assigned by the Administrator and Assistant Administrator

Key Relationships

  • Reports to Administrator and Assistant Administrator
  • Assist the DOC with updating of material and general duties
  • Interfaces and builds relationships with: o Nursing Services o Recreation Services o Dietary Services o Support Services o Residents/Families

Qualifications

  • Business accounting courses or equivalent
  • Previous related experience in a long term care, health facility or retirement home is an asset.
  • Must be bilingual (French and English)
  • Must possess excellent written and oral communication skills.
  • Excellent keyboarding skills required.
