Under the direction of the Supervisor, Campus Stores, the Purchasing Agent, Campus Stores is responsible for all aspects of procurement and returning of textbooks, course packs and etexts pertaining to Durham College (day school and Continuous Education), Upon request, the incumbent researches the best price, delivery and quality of material; recommends alternative sources, evaluates current vendors and use of government contracts through OECM if applicable.


The incumbent is to ensure that purchasing services are delivered with a value added customer service and acts as the College liaison in dealing with internal and external contacts on purchasing related matters and assists in resolving any problems and conflicts under the general instruction/direction of the Supervisor, Campus Stores.


DUTIES AND RESPONSIBILITIES:


  • Creation and management of logins for access to Online Course Adoptions for all faculty and relevant staff.
  • Translate and enter all course data into Course Planning program within Bookware in a timely manner so all faculty and staff have ability to perform material adoption
  • Set percentages to determine number of training materials to be bought, following existing rules and convert all requests into purchase orders.
  • Liaise with Accounts Payable, Finance, Shipping/Receiving in investigating and resolving vendor/client issues as they pertain to shipping timelines and/or invoicing.
  • The incumbent must understand and prioritize purchasing requests independently.
  • Gather feedback on availability and pricing information, as required when sourcing new items.
  • Research alternatives when requests are unavailable and provide feedback to instructor and administrative coordinator.
  • Deals directly with students, instructors, admin/program coordinators and/or other campus store staff, with respect to status, alternatives, special orders, and finding appropriate material.
  • Deals directly with Instructors to obtain course pack files and instructions for printing by the Print Shop. Reviews the course pack files for access copyright compliance. Translate the order request onto a centralized order form for the Print Shop.
  • Ensure access copyright files are up to date with revised references if applicable.
  • Prepare and submit access copyright files once every semester to Access Copyright for review.
  • Participate in physical inventory count semiannually.
  • Assist with various Campus Bookstore duties as required i.e. Event Days, cash, student inquires, pit sales, convocation etc.

QUALIFICATIONS:


  • Minimum of a 3year diploma or degree in a related discipline such as Business, Commerce, Communications, Finance, Accounting, Management Studies.
  • Minimum 3 years' experience in Purchasing environment or Office Administration.
  • Experience within College environment an asset.
  • Knowledge of Bookware, Banner and FAST would be considered strong assets.
  • Excellent attention to detail,
  • Highly developed customer service/conflict resolution skills as well as strong interpersonal and communications skills. Ability to work independently and part of a team.
  • Excellent organizational and time management skills with the ability to multitask.
  • Must be discrete, confidential, selfmotivated and exercise good judgement as the incumbent will be handling confidential information.
