Position Summary:

  • Reporting to the unit supervisor, the incumbent participates in the development of programs and materials in support of volunteer identification, recruitment and training, and the support of events, activities and platforms to engage alumni worldwide, to maximize philanthropic support and alumni involvement with the University.
  • Typical Functions:
  • Perform and organize activities to support the daily operations of the unit by ensuring that administrative services are carried out in accordance with established goals and objectives.-
  • Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit's operations and ensure activities meet or exceed established quality requirements.
Identify and train students and volunteers to assist with fundraising campaigns and alumni relations activities and events. Establish work schedules for students and volunteers. Participate at events such as seminars, class presentations, and other student and alumni related events. Make presentations to students and alumni about philanthropy. Research and review data to identify prospective donors and volunteers. Plan meetings, conferences, luncheons and fundraising events. Record and distribute minutes. Select external suppliers for events and catering and ensure costs are within established guidelines and budget. Prepare and administer budget related to events. Generate written material such as campaign letters, stewardship materials, newsletters, briefing notes, donor correspondence, and proposals. Compile statistics and data for inclusion in reports. Update documents and reports, either in print or on the website. Assist in the design of websites, updates and feeds to social media ensuring information is accurate and complete. Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. Assess and resolve problems. When appropriate, inform supervisor and formulate recommendations. Attend meetings. Other Qualifying Skills And/Or Abilities:

  • Demonstrated ability to build constructive and effective relationships, and work with volunteers in a nonprofit setting.
  • Must have experience in event planning, be client focused, with excellent organizational, listening, problem solving, planning, and priority setting skills.
  • Demonstrated ability in a PC environment, proficient using MS Office (Excel, Word, PowerPoint) and social media platforms and tools.
  • Proven track record in the qualification and cultivation of alumni and in the implementation of alumni relations programs.
  • Must be resultsdriven, a selfstarter, and highly motivated.
  • Demonstrated ability to work in a fastpaced environment and manage multiple projects within tightly prescribed timetables.
  • English spoken and written. French, spoken. English and French, spoken and written.

Knowledge of French and English:

McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
