About You:

_**We are looking for a personable and responsible Administrative Assistant to perform a variety of administrative and clerical tasks for the Food Security Team.

Duties of the Administrative Assistant include providing support to the directors and managers, assisting in daily office needs, and managing our company's general administrative activities.


You will be responsible for answering and directing phone calls, organizing, and scheduling appointments and meetings, maintaining contact lists, producing, and distributing correspondence memos, letters, faxes, and forms, assisting in the preparation of regularly scheduled reports, developing and maintaining a filing system.

Core Responsibilities:

_**- Responsible for the support function for the Food Security department/division including the arrangement of meeting and appointments, preparation of minutes and agendas composition of routing correspondence, photocopying, scanning and preparation of written materials and the collection and processing of data.


  • Acts with some independence as liaison with internal and external contacts as in relates to the provision of information, obtaining information, setting meetings and other related departmental activities.
  • Takes a proactive approach to annual reoccurring tasks by initiating the tasks, advising the supervisor responsible, creating, and maintaining a tracking system of workflow etc.
  • Assists with the planning and coordination of events. This may include recruitment and training of volunteers
  • Provides administrative/technical support for activities that relate to departmental activities
  • Responds to inquiries from internal and external sources by providing information based on a knowledge and understanding of standard departmental guidelines, procedures and policies,
  • Performs timely and accurate data entry for departmental activities, ensuring that CRM system can be relied on as the primary source of information
  • Creates and maintains standard documents, spreadsheets, presentations and databases using a variety of software programs and online data retrieval
  • Coordinates and participates in the production of various materials and may coordinate volunteers

Experience/Education

  • Minimum 3 years experience in an administration role
  • 1 year diploma in business administration or office administration

Working Conditions_**- Monday to Friday 8.30 am to 4.30 pm

  • Some hours outside of business hours will be required
  • Driver's license required
  • Lift 20 lbs.
  • Will provide reception coverage as needed/required. Note, in the regions the reception coverage is 5 days/week as part of regular admin duties

This is a bargaining unit role with CUPE Local 1760.This position is a pay grade 29 which is $58, annually for the Lower Mainland/ Fraser Valley regions or $53,166.70 annually for other BC regions outside of the Lower Mainland.
