OFFICE & EMPLOYEE EXPERIENCE COORDINATOR - Full Time Position


The Office & Employee Experience Coordinator is the first point of contact for everyone at Nature's Way Canada (NWC), be it an employee, client, or visitor. This person represents the company and is expected to always do so in a pleasant and professional manner. The Office & Employee Experience Coordinator provides administrative support to the Team, in particular the Leadership Team, and performs general office management duties on behalf of NWC.


The role is varied and hands-on, with responsibility for the delivery of many admin-related tasks and activities across the company.

A self-starter mentality and attention to detail are essential for success in this role.

Please note that this is an office-based role.


Key Responsibilities include the following:


Team Ambassador

  • This role interacts regularly with all employees across Canada and is critical to the Nature's Way Canada Employee Experience
  • Acts as a company ambassador by welcoming all new employees, as well as guests, to the Dartmouth Head Office
  • Coordinates and leads the delivery of the New Employee Orientation process to ensure a running start
  • Leads and executes all employee related social and charitable initiatives
  • Coordinates employee recognition activities and long service awards
  • Professionally represents Nature's Way Canada as an employer of choice

Office Administration and IT-related Tasks

  • Manages reception desk responsibilities in a pleasant and approachable manner for both telephone and walkin visitors
  • Provides support to the Leadership Team, including Finance, Operations and the VP/MD, as required
  • Coordinates preparation for meetings and company events as directed, including arranging meeting space (on or off site), technology set up, ordering catering and refreshments, and any other duties as requested
  • Point of contact for all employee related activities and office needs such as the lunch program, office supplies, stationery and equipment, and IT requirements (this includes remote employees), and may require running errands from time to time
  • Is responsible for processing monthly expenses related to the office
  • Partners with the Finance Department in the processing of cheques and invoices
  • Actively participates in promoting a safe workplace through participation on the Occupational Health & Safety Committee
  • Responsible for managing building security with keys, badges, and the like
  • Liaison for external service providers, including the security company
  • Point of contact for company ITrelated issues and liaises closely with the Service Desk personnel to coordinate troubleshooting
  • Other general duties as required

HR Tasks

  • Supports Recruitment, Selection and Onboarding from an administrative perspective
  • Liaises with HR to ensure Employee Files are up to date
  • Partners with HR to ensure new employees are enrolled in the Benefits Plan
  • Assists with the delivery of Training & Development initiatives, including scheduling, coordinating, and dealing with facilitators, both internal and external
  • Supports HR administratively with all Wellbeing and DE&I initiatives and activities
  • Supports business communication with content creation for the internal monthly newsletter, television slideshow, and external LinkedIn posts
  • Other general duties as required

Job Requirements

  • Minimum of a college diploma in office administration, business and/or HR required, or a suitable combination of experience and training
  • Minimum of 5 years' experience working in an office and team environment
  • Experience supporting senior management is a definite asset
  • HR administrative experience is a definite asset, such as managing confidential information in a professional manner
  • Proactive by nature with exceptional attention to detail and superior time management and organizational skills
  • Ability to manage multiple priorities and work effectively under pressure as required
  • Excellent interpersonal skills
  • Selfmotivated and able to work independently or as part of a Team
  • Excellent communication skills, both verbal and written
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and solid IT skills
  • Strong customer service skills and ability to interact professionally with all levels in an organization
