Primary Function
Provide administrative and project support to the Capital Works Manager and the division.


Major Responsibilities

  • Assist with the preparation and/or composition of correspondence, memos, spreadsheets, and reports.
  • Coordinate project work in progress and scope of work changes by contractors and staff and ensure that all work is executed in accordance with relevant legislation, approved project drawings, specifications, building maintenance and safety standards.
  • Coordinate and execute all details related to meetings and if required, record minutes and manage any followup issues.
  • Assist Capital Works Manager with preparation and evaluation of Capital project Tenders, RFPs and RFQs.
  • Assist with Input and maintain Exhibition Place Capital Projects entries into the City CAPTOR database.
  • Provide administrative support for the processing of Capital invoices to ensure compliance with the Construction Act timelines.
  • Assist Capital Works manager with the preparation of addenda and liaise with Consultant, Purchasing and other staff during tendering process.
  • Follow up with project change notices and change orders to meet contract requirements and coordinate their approvals.
  • Prepare and coordinate the issuance of inhouse Capital work orders.
  • Project Coordination activities of small projects as directed by the Capital Works Manager.
  • Liaise with consultants, contractors, and the City's legal for the preparation and execution of construction agreements.
  • Provide support with researching information, photocopying, ordering supplies, etc.
  • Update project accounts, requisitions, invoices, and all other related correspondence.

Required Qualifications

  • Bachelor of Civil, Mechanical, Electrical or Structural Engineering, and eligible for a membership with the Association of Professional Engineers of Ontario or registration with the Ontario Association of Certified Engineering Technicians and Technologists (OACETT) as a Certified Engineering Technologist or equivalent combination of education and experience in a discipline pertinent to the job function.
  • 23 years' experience in project management, facility construction including new construction and renovation.
  • Experience in contract administration of construction projects.
  • Experience utilizing software packages (word processing, spreadsheet and electronic mail).
  • Good interpersonal skills with the ability to communicate effectively both verbally and written.
  • Proven customer service skills.

  • Proven customer skills.
  • Possess a valid Class "G" Driver's License.
