    Overview

    To serve the growing needs of Pearson's clients, the Conference and Event Coordinator is responsible for supporting a number of client conferences and testing events in the USA and Canada

    The appointed individual will report to the VP Global Operations and will help establish and maintain event testing in the Americas and Canada. The Conference and Event Coordinator will assist in researching, identifying and negotiating with multiple vendors from various fields to ensure adequate test delivery venue coverage and associated invigilation services are delivered for each of the conferences/events.

    It is the responsibility of the Conference and Event Coordinator to ensure that client program requirements are planned for and are appropriately implemented in all associated testing venues. This role is also involved in ensuring that quality and security requirements are met and that process improvements and increased efficiencies are identified.

    Other responsibilities of the role include invoice and data collection/coordination, working to set timelines, planning and negotiating priorities as well as some basic technical support activities updating conference testing kits. The Conference and Event Coordinator will liaise and be supported with other members within the Conference and Events teams and teams within the Pearson organisation, they will also work with several external 3rd party suppliers. The Conference and Event Coordinator will ensure company and client quality standards are adhered to, ensuring effective communication and reporting internally.

    Key Responsibilities

  • Responsible for supporting and implementing testing solutions for multiple events during the year
  • Provide basic technical support to facilitate the updates to testing kits used for testing events in Canada, this will be completed in our on-site storage facility in located in Newmarket, outside Toronto
  • Support the Program Managers in ensuring that client satisfaction levels are achieved to a high standard and issues are recognised, documented and resolved
  • Liaise with the wider team, and agencies where appropriate, to help deliver successful testing events in the region(s)
  • Work with the team to ensure adequate capacity is provided for test events and assist to develop contingency plans for each event
  • Supporting other initiatives as provided by the Events teams where appropriate
  • Develop strong relationships with wider Pearson colleagues to maximise effectiveness of testing event coordination
  • Key Activities

  • Research, identify and secure testing venues and invigilators to meet the requisite footprint for new testing events
  • Provide technical support and manage testing kit distribution in Canada (and other locations as needed)
  • 1-2 years' experience in Windows Application support
  • Customer Service experience required
  • Contribute to a range of exam preparation and delivery tasks
  • Work with the team to ensure the provision of appropriate training and supporting documents for successful exam delivery
  • Coordinate activities associated with the invoice payment process for 3 rd Party Suppliers
  • Travel – Must be available to travel to provide conference and event support as needed, this could be multiple trips throughout the year of up-to a week (possibly longer)

  • Demonstrated experience with coordinating a range of event types and/or projects

  • Experience coordinating logistics associated with events or exam delivery
  • Invoicing and budget coordination desiredA+ certification preferred
  • Proficient in the use of Windows 10 and Windows Server
  • Understanding and troubleshooting of basic Network configurations
  • Ability to troubleshoot and resolve hardware issues
  • Ability to speak French highly desirable.

    PRIMARY RESPONSIBILITIES .

    35% Canadian event coordination

  • Maintain existing test center in a box testing kits
  • Complete S/W and H/W updates as needed with the support of VUE Support Services (VSS)
  • Coordinate planning and shipping of kits to event site across Canada
  • Work with internal teams to coordinate on-site support for the test event
  • Provide training as needed to new support personnel
  • Make recommendations to improve the service and viability of the test event
  • Maintain and create equipment installation documentation
  • 25% Pre-event planning and coordination

    Develop requirements through collaboration with clients and internal account and technology teams. Create conference/event plans with recommended solutions and obtain approvals from relevant stakeholders. Based on established best-practice procedures:

  • Assess and manage all risks; communicate to team
  • Identify and secure onsite staff from technology, program management or other departments
  • Select vendors and order appropriate technology and other services
  • Hire and train local contractors
  • Coordinate logistics
  • Develop pre-show documentation and overview information for staff and client
  • 25% Onsite conference/event management

    Manage daily conference/event operations at the location

  • Coordinate setup of equipment, complete all testing to ensure conference/event delivery reediness
  • Stage registration and testing rooms onsite
  • Train, supervise and direct onsite staff who perform technology, registration and Test Administrator duties
  • Serve as primary client contact
  • Work directly with test candidates throughout registration, security and admissions processes
  • Troubleshoot; work across departments to resolve issues
  • 5% Budgeting

  • Provide client and internal teams accurate cost estimates
  • Reconcile invoices with finance, program management and business development to ensure accurate billing.

  • Regular conference calls with key customers and internal account management.
  • Post-event evaluation with clients and internal stakeholders
