Inertia Physio+ Full Time Lead Administrator Position Job Description
We are a multi-disciplinary Physiotherapy clinic offering an array of therapy services.

We are looking for an exceptional person to efficiently operate the hub of our clinic - the front desk Key responsibilities include customer service and keeping the clinic running smoothly.

We're looking for someone to commit to the position long term.

This is a multi-faceted full time lead administrator position with responsibilities over and above the part time staff.


Minimum Job Responsibilities

  • All aspects of client care and providing an exceptional client experience
  • All aspects of clinic operations day to day including cleaning and laundry
  • Managing Jane software system for scheduling, patient charts, billing and balancing
  • Practitioner support
  • Place value on and offer continued support to the growth and success of the clinic and creating the best team and environment possible
  • Support clinic owners with various projects and tasks as they come up

Lead Administrator Responsibilities over Basic Job Role

  • Manage part time reception staff performance, training, scheduling, hiring
  • Manage thirdparty billing
  • Manage Social Media, Google My Business and Search Engine Optimization Campaign along with the SEO specialist we work with
  • Marketing and clinic growth
  • Work environment and relationships
  • Initiate and plan community events and fundraising/community outreach
  • Create pay information for bookkeeper biweekly
  • Be the point person outside of owners
At our front desk, you will be the first point of contact for our company. It is important that you can portray our vision of a calm, warm and welcoming environment. In a customer-based industry, superior customer service is of utmost importance to us. Our customers need to know they are our priority.


Secondarily, you should be able to streamline office operations and execute all front desk activities to the highest quality standards.

Multi-tasking, initiative taking and critical thinking skills are essential. Professional and courteous interactions with people are a must.


Minimum Requirements

  • Education and/or work experience in office administration and/or customer service
  • Highly organized and efficient with a strong attention to detail
  • Strong verbal and written communication skills
  • Electronic proficiency in Microsoft Office, Google Documents, other software programs and office equipment
  • Customer service attitude and ability to stay calm and be professional at all times
  • Critical thinker and problem solver ability to be resourceful and proactive
  • Adaptability
  • Multitasking and timemanagement skills
  • Professional attitude and appearance
  • Proactive, selfmotivated, takes initiative
  • Shifts are generally roughly 7:303:30pm Mon-Fri, with some degree of flexibility, mostly on finish time. You could also choose to work the late shift until 7:30pm at your discretion.
  • Some degree of flexibility to work as a reception team to cover each other for days off or shift switches as needed

Job Types:

$20.00-$25.00 per hour
