Job Description:
Assure records stored internally and externally are easily retrievable at no mistake cost to SGS. Request data destruction after 5 years period from C of A is reached or as requested by client.
- Scan records to Intact system
- Archive records and maintain filing list for records stored in outside storage location.
- Communicate with outside storage location supplier for archiving, retrieval and destruction. Evaluate the supplier as per SOP QAM213 Evaluation of suppliers.
- Arrange copies of records as per C of A order (client request) and send to client. Assures time is accounted for the activities to charge clients.
- Send records to an approved offsite storage location on client request
- Provide Scan Packet Cover Sheet and Raw Data Cover Sheet
- Retrieve and refile records when requested
- Provide testing record for client and SGS personnel
- Maintain Record Retrieval Log
- Provide mutual backup support to other members in the team as required
- Process incoming and outgoing mail when assigned
- Communicate in a timely manner on all levels with information that is needed to make a quick decision.
- Attend training sessions and ensure that training binder is current. Have a training record for every SOP version executed; If absent during training sessions, ensure training is performed and documented.
- Ensure that client requests are dealt with effectively
- Keep the working area clean and organized
- Provide training to others when delegated
- Assist with Reception coverage as needed
- Assist with the preparation of courier shipments
- Prepare and supply the scanning cover sheets as per request
Qualifications:
- Education:
College Diploma:
For this position is the organization skills, systematizing and being detailed oriented not to make mistakes important and not so much the education
- Experience: Experience in organization of records is preferred; detailed work assignments and longtime focus in previous employment assignments.
- An Archivist who has proven record of bringing effectiveness to processes and ability to be detailed and focused on any job assigned.
- An Archivist who has excellent organization skills and is detail oriented. Systematization is his/her strength. Likes a repetitive work. Can improve a process to a high effectiveness.
- Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
- Proven ability to manage and coordinate multiple projects in a fastpaced, highly professional environment.
- Ability to work well with others & independently.
- Proven time management skills and a strong attention to detail.
- Works well under pressure.
- Extended hours and shift work may be required from time to time.
- Ensures full compliance with the company's Health & Safety, Code of Integrity, and Professional Conduct policies.
- Appropriate attitude, constant vigilance, attention to detail and following Training SOP for training and training records.
