ROLE SUMMARY
Logibec is looking for a part-time Executive Sales Administrative Assistant who is proud to contribute to the success of the company.
As a key member of the sales team, he/she provides valuable support in following established processes and takes initiative to ensure smooth operations.
MORE SPECIFICALLY, YOUR ROLE WILL INVOLVE:
Support the sales team:
- Ensure coordination of activities within Sales.
- Layout financial proposals and relay to sales for mailing to customers.
- Receive purchase orders and liaise with Finance.
- Ensure the followup of the contract management.
- Compile, archive, and update digital files on customers in various storage systems.
- Coordinate response activities to calls for tenders, prepare and submit responses within the prescribed timeframe.
- Send notices and communiqués to our client base, answer questions, and/or direct clients to the appropriate internal resource on various occasions.
- Maintain and update sales and customer records.
- Expedite orders by acting as an internal liaison.
- Assist in the training of new hires, including the use of equipment and company procedures.
- Support the sales department with other administrative tasks as needed.
Executive Team Support:
- Managing expense accounts.
- Assist with travel arrangements.
- Schedule some facetoface executive team meetings and coordinate all administrative and logístical aspects.
CANDIDATE PROFILE
- Ability to prioritize.
- Thoroughness and attention to detail.
- Team player who likes to collaborate.
- Organizational skills.
- Autonomy and initiative.
- Bachelor's degree in administration or similar field is preferred in the absence of this degree, any relevant experience will be considered.
- Previous experience in sales administration or similar role.
- Exceptional interpersonal and customer service skills.
- Experience with CRM and other software used internally.
- Advanced knowledge of administrative record keeping.
- Familiarity with sales reports and sales records.
- Proficiency with word processing and spreadsheet software.
- Excellent written and verbal communication skills.
