Operations Support Officer and Executive Assistant


What is the Opportunity?


As an Operations Support Officer and Executive Assistant, you will support the VP, Risk Strategy & Optimization (RSO), RSO senior leaders and the RSO team within Risk Operations.

You will be accountable for managing schedules, departmental events, communications and correspondence to ensure the effectiveness of the VP, RSO and the RSO team.

In addition, you will liaise with RBC Leadership and business partners on behalf of the VP, RSO, follow-up on action items, maintain calendars, coordinate travel arrangements, maintain and organize files, prepare correspondence and other presentation materials, and prepare/reconcile expense and payroll reports.


What will you do?

  • Provide proactive daily support to the VP, RSO through actively managing calendars, scheduling meetings, collecting information and preparing materials in advance of meetings while maintaining a high degree of confidentiality and accuracy within a fastpaced, deadline driven environment
  • Responsible for maintaining monthly FTE forecast and expense & payroll reporting for review
  • Provide support in the planning and development of internal and external meetings/conferences/events, RSO activities and key initiatives such as roundtable sessions and monthly team meetings
  • Coordinate all aspects of logístical organization of events, develop agendas, materials and routines, including action items and followups. Provide postevent support as needed
  • Use problemsolving skills and analytical skills to assist as the primary liaison for the VP, RSO, with senior internal and external stakeholders
  • Proactively manage travel arrangements/itinerary for the VP, RSO and RSO senior leadership team, ensuring seamless travel and efficient use of budgeting and resources
  • Obtain information from the RSO senior leadership team as required and concisely summarize the information into communications and presentations on a variety of topics and issues
  • Provide operational support to the team which may include but is not limited to coordinating new hires, managing technical and equipment needs and raising issues to HR while ensuring adherence to IT and team policies

What do you need to succeed?

Must-have:

  • 3+ years of Executive or Administrative support experience supporting multiple senior leaders
  • Superior organizational skills, specifically around calendar management, scheduling, ability to organize, plan, and schedule activities
  • Strong interpersonal relationship skills in working effectively with various levels of staff, including senior management and executives; ability to work as a team member
  • Sound judgement in decision making, strong problemsolving and analytical skills, resourceful in working with others and representing the office of senior executives
  • Anticipate the needs of the VP, RSO and flag questions or opportunities before issues arise
  • Demonstrate initiative, a positive and helpful attitude when dealing with others in a professional manner
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook), navigational skills (intranet, internet) and research skills
