Must Haves:

Experience with one or more of the following tools: FlexTrack, Bonfire, Procurement eSourcing


Note:

Ontario Health assets including laptops and related equipment cannot be removed from the province of Ontario without prior written approval from Ontario Health.



Note:
This position is currently listed as "Hybrid" due to COVID-19 related work from home direction.

Once Ontario Health staff are required to return to the office, the resource under this request may be required to work onsite as well.

As such, any FFS resource awarded this position will be required to attest to being fully vaccinated against COVID-19 as supported by the OPS COVID-19 Safe Workplace Directive effective on October 1, 2021.

After completing the attestation, you must show proof of vaccination to the Hiring Manager. Managers will not collect a copy of your vaccination proof.


Valid proof of vaccination includes:

  • Receipt from the issuing vaccination clinic or pharmacy;
  • An electronic vaccine receipt issued by the Government of Ontario or another province;
  • A record of each dose of your vaccination, such as a receipt, card or confirmation from an international organization with a certified translation; or
  • A QR code from the government's COVID19 certification app

Responsibilities:


The Project Control Officer will work with the Procurement Team and project teams to support procurement needs and ensure project processes are in compliance to Agency policies.


General Skills:


  • Ability to adequately monitor, track and coordinate project requirements and provide reporting and input to ensure targets are met
  • Experience developing and managing project schedules and deliverables.
  • Ability to promote Agency best practices and adherence to procurement and Agency's methodologies, processes and policies
  • Demonstrated experience collaborating with internal and external clients to ensure project deliverables are delivered on time and adhere to agency standards and policies.
  • Extensive experience coordinating and monitoring project processes, and developing/ communicating guidelines and procedures.
  • Proactively identifies potential risk events and issues before they occur so that proper mitigating strategies can be developed.
  • Articulates and prioritizes issues and risks and recommends mitigation strategies for decision makers.
  • Provides project, program, and/or portfolio reporting to multistakeholders at various levels of the Agency.
  • Promotes Agency standards and best practices for project and procurement process to facilitate control of system quality, adherence to standard methodology and the control of the use of Agency resources.
  • Experience managing and coordinating project monitoring, anticipates and troubleshoots issues, provides ongoing expertise, resolves problems and provides project effectiveness
  • Ability to identify conflict between project and functional areas and develops responses to successfully address conflict
  • Ability to handle client relationships to manage expectations, provides updates as required, identifies potential conflicts between project and functional areas

General Skills:


  • Experience collaborating with various groups to gather updates and maintaining project budgeting, progress reporting, action items, etc.
  • Experience working alongside project managers to provide updates, escalate where required, identify risks, and lead project document deliverables
  • Demonstrated experience working in a professional environment supporting multiple project managers and critical projects.
  • Experience developing project status reports and maintaining and monitoring status reporting logs
  • Experience scheduling meetings
  • Experience monitoring project document repository and ensuring all documents are reviewed and maintained in the repository
  • Desirable Skills:
  • Experience with one or more of the following tools: FlexTrack, Bonfire, Procurement eSourcing
  • Demonstrated excellent project management software skills and experience e.g. MS Project, Planview, etc.
  • Understanding of basic Project Management concepts (e.g. project goals, risk, scope, participant roles, planning, cost and quality management)

Criteria Details
Demonstrated experience as a Project Coordinator in a Procurement or IT environment, ideally supporting procurement activities.

Demonstrated hands-on experience with Procurement tools, such as FlexTrack, Bonfire, Workday.
