LL DO:

  • The Scheduling Supervisor is a member of the HR team and is a key resource for the daily operations of the Scheduling department within the HR Division. Along with the HR Manager, Scheduling and Systems., the Scheduling Supervisor provides leadership support the Scheduling team and to PRHC Leadership with expert advice and knowledge on the scheduling system, scheduling practices, and standard processes. _
  • The Supervisor isresponsible for providing coaching, support, mentorship and training to the Scheduling team. _
  • Leadership: _
- _In collaboration with the HR Manager, oversee the daily operation of the Scheduling department _
- _Communicate the performance expectations of all members of the Scheduling department and provide continuous feedback on performance, taking immediate action to recognize achievements and address deficiencies or problems _
- _Monitor team performance and develop feedback reports for management _
- _Provide input into performance evaluations _
- _Participate in the recruitment and selection of new Scheduling team members _
- _Provide communication, education, problem-solving and general information sharing within the Scheduling department through regular staff meetings and other communication techniques _
- _Monitor day to day transactions (on a regular cadence), including developing and conducting regular integrity checks for data accuracy and completeness _
- _Assists with the evaluation and monitoring of scheduling systems, policy and procedures and recommend changes when necessary _
- _Promote good public relations by fostering and maintaining positive communications with staff and clients _
- _Lead and nurture a work culture that promotes open, frequent, and dynamic communication among Scheduling department staff, promoting teamwork with a customer focus to accomplish desired goals and objectives _
- _Prepares working schedules for the team according to rotational planner timelines _
- _Manages escalations ensuring issues are resolved in a timely manner _
- _Interact with unit managers or their delegates for continual improvement of the staff scheduling processes - optimizing the use of the Kronos/Dimensions for staff _
- _Represent the hospital in issues pertaining to scheduling (e.g. grievances, labour management, collective agreement bargaining), if required _
- _From a quality control perspective, oversee the maintenance, restructuring, and changes to master rotations by HR Scheduling Planners based on hospital needs _
- _Provide expertise in the development of new master schedules and staffing plans _
- _Act as a resource for creative scheduling solutions to support staffing needs and improve staff satisfaction with their scheduling experiences _

  • Training and Development: _
- _Develop and deliver training and refresher training for staff & leaders to use the corporate Time & Attendance System (Kronos/Dimensions) including but not limited to end user self-service, manager orientation, etc. _
- _Provide education and training to all Scheduling department staff with regard to union contracts (in collaboration with the Labour Lead), payroll, scheduling rules, and the corporate Time & Attendance System (Kronos/Dimensions) _
