This role provides primary day-to-day executive administrative support to the CFO Global Wealth and Asset Management (GWAM) and assist in the fulfillment of his responsibilities.

This position requires integrity, judgment, strong organizational skills, the ability to deal with individuals at all levels, and confidentiality in dealing with sensitive situations that require tact and diplomacy.


The Executive Assistant is accountable for a wide range of administrative functions including; scheduling and calendar management, travel arrangements, expense reporting, preparing documents, presentations and other communications for senior audiences.

The incumbent is proactive, anticipates issues and initiates appropriate action to ensure the most effective use of the CFO's time; proofreads, makes edits to and formats documents.

This position is also responsible for giving direction and assistance to the CFO's direct reports and their departments.


Responsibilities:


  • Manage executive's calendar, organize internal/external meetings, catering requirements, video/teleconference needs and prepare materials in advance for review
  • Manage the complex schedule of the CFO, GWAM by independently assessing the urgency of competing requests and proactively handles scheduling conflicts
  • Proactive gatekeeper in planning CFO, GWAM's calendar and in understanding his priorities and preferences, advising of incoming priorities on a timely basis as needed
  • Manage CFO, GWAM's correspondence mail and phone
  • Manage and complete CFO, GWAM's expenses on a regular basis
  • Effectively coordinate and execute travel arrangements for domestic and international trips, and provide ongoing support for travel expense reimbursement
  • Help liaise with IT, Security and HR as required to facilitate onboarding or termination of employees reporting directly into the CFO, GWAM
  • Help plan, coordinate and execute GWAM ELT offsites, townhalls and AVP+ offsite and onsite conferences
  • Establish excellent working relationships with members of the ELT executive assistants
  • Provide leadership, coaching and mentoring to the administrative staff, leading quarterly administrative meetings to share best practices and provide guidance
  • Maintain records and/or coordination of information collection.
  • Assist with projects and initiatives as assigned.

Knowledge/Skills/Competencies/Education:


  • University or College diploma in Administration or Business or extensive related business experience
  • 10 years experience providing executive secretarial support to senior executive management
  • Strong interpersonal and diplomacy skills with a high comfort level in dealing with senior management and individuals at all levels.
  • Ability to handle confidential information, exercise discretion and tact in sensitive/confidential situations
  • Ability to use judgment in anticipating and initiating appropriate action along with ability to analyze situations/issues and recommend change.
  • Ability to multitask, be flexible and move from one priority to another, while maintaining a high level of accuracy and attention to detail
  • Strong administrative, organizational and prioritizing skills, using time effectively to meet deadlines
  • Ability to take initiative, manage stress and thrive in a fastpaced environment
  • Excellent verbal communication, writing and editing skills.
  • Highly proficient PC skills, especially Microsoft Office (Word/Excel/PowerPoint)
  • Familiarity and prior experience with statistics, financial services, concepts an asset

Salary & Benefits


The annual base salary for this role in the primary location of Toronto, Ontario is expected to be between $51,525.00 CAD - $85,875.00 CAD.
