Role:


We are looking for a talented and proactive
Executive Assistant to join our experienced Administration team to help support our very busy Leadership Team.


The Executive Assistant position requires a person who is poised, confident, efficient, comfortable with technology, shows initiative and who is sensitive to the needs of our team of executives, project managers and administrative support staff while ensuring strict confidentiality at all times.

The ability to exercise sound judgement and juggle priorities are a must, as are superior organizational and coordination skills.

As we are a small office, we look to all of our team members to roll up their sleeves and take on whatever tasks are necessary to get the job done right.


What you will be doing:

  • Provide seamless administrative support for the Leadership team.
  • Support in business development initiatives and activities
  • Liaise with members of our Leadership Team, Global Project Managers and the Global Support teams.
  • Manage calendar and coordinate meetings.
  • Attend conference calls, take notes and track action items.
  • Prepare presentations, proposals and provide research as required.
  • Manage the travel program through Concur including arranging detailed travel plans.
  • Filing and database updates on CRM and HRIS systems
  • Expense reconciliation
  • Collaborate with other colleagues across departments in progressing administrative processes.
  • Help manage administrative resource sites such as SharePoint and Microsoft Teams
  • Plan departmental and/or divisional meetings and events.
  • Take on correspondence related responsibilities from senior management, as requested.
  • Provide bridge of communication between Leadership team and internal departments
  • Work with the Leadership team on executing the corporate strategy plan and initiatives.
  • Assist in coordinating the agenda of senior management team meetings and offsite meetings.
  • Additional general administrative duties as required.
  • At least 3 years' experience supporting C-Level Executives, preferably within a small to medium sized organization.
  • Polished, professional communication style and excellent writing skills
  • Strong interpersonal skills and the ability to build rapport with stakeholders.
  • Intuitive and organized with strong attention to detail.
  • A team player mentality
  • Ability to multitask, keep track of priorities, and meet deadlines with mínimal supervision.
  • A sense of humor
  • Ability to react quickly, while remaining calm under pressure
  • Exceptional computer skills including MS Office and software
  • Outlook, Word, Excel, PowerPoint, Skype
  • Familiarity with social media (LinkedIn) would be an asset.
  • Familiarity with SharePoint and Microsoft Teams
  • The ability to travel on occasion; a valid passport is required.
