About Us:


The Faculty of Health Sciences ((FHS) is a large, diverse, and comprehensive unit, comprised of six Schools (Nursing, Kinesiology, Health Studies, Physical Therapy, Occupational Therapy and Communication Sciences and Disorders), a large Interdisciplinary Graduate Program in Health and Rehabilitation Sciences and four Research Centres.

The faculty has more than 3,200 undergraduate students and more than 800 graduate students (200 PhD students).


Following an administrative alignment, the schools in the rehabilitation sector - Communication Science & Disorders (CSD), Occupational Therapy (OT) and Physical Therapy (PT) have agreed to a new integrated Administrative Structure.

Reorganizing the administrative resources, while supporting the mandate and uniqueness of each school will be a key goal and deliverable the integrated administrative team.


Responsibilities:


Supporting the Rehabilitation Sector Schools (Schools of Physical Therapy, Occupational Therapy and Communication Sciences and Disorders), the Administrative Assistant will assist with the day-to-day interactions with students, faculty, and staff within the Rehabilitation Sector Schools which include (but not limited to) front-desk responsibilities.


The Administrative Assistant will assist with administrative activities in the department, provide back-up support for other administrative roles in each of the Schools, and respond to general inquiries.

The Administrative Assistant will handle incoming and outgoing mail in a confidential and timely manner, ensure that supplies inventories are adequate and maintained, and assist with the preparation and processing of any required and support room bookings, scheduling, and a variety of other administrative tasks.

The role will assist with the coordination of meetings and events, ensure any required resources are available, and that any associated documentation is prepared.


Qualifications:


Education:


  • 2 year Community College Diploma in an administrative field

Experience:


  • 3 years of administrative experience providing customer service in an academic and/or health care environment

Knowledge, Skills & Abilities:

  • Knowledge of general office procedures
  • Written and verbal communication skills to express ideas clearly, and adapt
  • Verbal and written communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
  • Intermediate computer skills in Microsoft Office Suite, with the ability to learn and use software programs
  • Ability to maintain a positive, outgoing attitude with genuine customer service orientation
  • Ability to follow formal business practices with high attention to detail
  • Ability to multitask and maintain an organized and effective personal work environment
  • Adapts readily and effectively to changing priorities and demands
  • Personable and courteous in working relationships with colleagues, students and the public
  • Demonstrated ability to understand and resolve external and internal partner issues
  • Ability to work independently and effectively as a member of the team to achieve department goals
  • Ability to work in a manner that is compliant with confidentiality requirements
