Scope


The City of Surrey Planning and Development Department is looking for an energetic, self-motivated team player to fill a Regular Full-Time Clerk 3 position.

Reporting to the Planning and Development Business Support Manager and working closely with the Director, Building Division and the Building Division as a whole, this position will perform moderately complex and diversified clerical work in various capacities.


Responsibilities:

Timekeeping for the P&D Building Division (approximately 80 employees).

Draft compliance letters for signatures by Building Officials by collecting and retrieving information about unauthorized construction from systems of records, including Amanda, Posse, Spreadsheets, and SharePoint.

Forward compliance letters by registered mail, confirming receipts and keeping track of any follow up.

Assist Building officials and Bylaw officers gathering records for eventual follow up with legal services, including the preparation of Request for Charges documentation.

Tracking and responding to enquiries.
Research dormant or expired permits to facilitate closure/resolution.
Support Divisional initiatives including tracking Surrey Excel deliverables.
Support multi-sectional initiatives such as Business License inspection coordination and tracking.
General administrative assistant duties such as booking meetings, arranging for AV/IT support and catering.
Operate office equipment, such as PC, Word Processors, photocopy, and fax machines.
Provide information to others, traces error, corrects deviations from policy, answers inquiries and complaints from the public and staff.
Assists other staff in performing their duties and performs related duties as required.


Qualifications:

A minimum of two (2) years' experience and training in an office environment.
Prior experience in the land development, building, engineering and/or construction industries is an asset.
