Position Overview
The Events Coordinator will focus on the events/campaigns portfolio for the St. Clair SRC.

The Events Coordinator will have a unique schedule, working during daytime and evening activities on a flex schedule in harmony with the events schedule.

Reporting Relationship(s)


The Event Coordinator will report to the Manager, Student Experience and will work directly with the SRC Board of Directors with their event ideas and with the Clubs & Volunteer Coordinator and Digital Marketing Coordinator.


Duties & Responsibilities

  • Work on programming activities including; but not limited to Orientation events, Welcome Week events, concerts/dances, campaigns/awareness days, workshops, lecturers, LGBTQIA+ programming, stress less weeks, wellness events, giveaways, etc.
  • Frequent liaison with SRC Board of Directors, regarding programming/recommendations, its budgeting and its scheduling.
  • Make recommendations to Executive Board regarding popular themes propose events and performers.
  • Attend meetings as required to provide report on SRC programming events, seek approvals and provide updates.
  • Manage events budget in conjunction with the Manager, Student Experience to ensure accurate budget allocations
  • Liaison with other school's event coordinators for block booking/other relevant programming ideas carried across Student Associations in Ontario/Canada.
  • Surveying of students, and other research methods, identify suitable entertainers and speakers for events.
  • Supervising the staging of events, small and large scale including effective setup and takedown of day and/or night events. Must remain present at event until all work is complete and all equipment/materials are accounted for.
  • Liaison with Manager, Facilities and South Campus Building Operations and college departments to receive approvals for space bookings/requests, event approvals, etc.
  • Coordination in the promotion and publicizing of events, in conjunction with the Manager, Student Experience and Digital Marketing Coordinator
  • Act as point of contact for vendor fairs/events with booked vendors/performers.
  • Occasional liaison with community organizations and community partners such as; St. Clair SRC
  • Chatham/TSI, Saints Student Athletic Association (and even the University of Windsor Student Alliance) for jointly staged events
  • Track attendance at events, evaluate audience reaction to events; and maintain records of same to determine the desirability of staging similar events in the future
  • Responsible for printing and installing posters on SRC sanctioned promotional frames/boards working with promo team students to ensure all
postering is current and up to date

  • Work alongside Manager of Student Experience to schedule and assign student event staff to work events
  • Ensured completion of financial process including cheque requisitions and payments are completed within a timely manner to ensure talent and partners' contractual agreements are met.

Desirable Professional Qualifications

  • Education and some workplace experience in public relations, event management and/or entertainment programming/management experience.
  • Some familiarity with entertainment venue staging, including setting up basic PA system
  • Significant familiarity with entertainment, themes and support for collegeaged demographic
  • Knowledge of the entertainment booking/contract negotiation system
  • Experience with budget preparation and oversight
  • Familiarity with liquor service regulations and restrictions (Smart Serve) and methodology to enforce them.
  • Familiarity with health and safety regulations and guidelines pertaining to entertainment venues/event stagging.
  • Bondable
  • Familiarity with computer software, particularly Microsoft Office Suite, ticketing platforms, Zoom, etc.
Desirable Personal Qualities/Traits

  • Excellent oral and written communication skills
  • Available to work flexible hours, including nights and occasional weekends.
  • G license and reliable vehicle to travel between South & Downtown campuses
  • Outgoing, personable and polite due to hospitality nature of the role and the associated networking
  • Well organized with exceptional time management; and capable of multitasking, problem solving, individual initiative, and teamwork.
This is a 2-year contact position.

Salary:
$38,000.00-$45,000.00 per year
