Manitoba's Mental Health and Community Wellness (MHCW) department is looking to fill the role of Administrative Assistant to the Assistant Deputy Minister.


The department of Mental Health and Community Wellness' vision is that Manitobans experience optimal physical, mental, emotional, cultural and spiritual well-being across their lifespan.

MHCW takes a whole-of-government approach to providing strategic leadership, funding, policy direction and oversight for Manitoba's Mental Health and Substance Use/Addictions system as well as chronic disease prevention and health promotion.

Qualifications:

Essential:


  • Postsecondary education in office administration with progressive administrative/clerical and secretarial experience or equivalent combination of education or training with extensive progressive administrative/clerical and secretarial experience.
  • Experience providing administrative support to senior or executive level staff.
  • Experience managing correspondence including tracking and monitoring assignments and using bringforward systems.
  • Experience developing and maintaining physical and electronic files, filing systems and document tracking systems.
  • Excellent written communication skills to draft, proofread and edit various correspondence, including letters, memos, reports and authority seeking documents with strong attention to detail and high degree of accuracy.
  • Experience managing electronic calendars to schedule and coordinate meetings.
  • Excellent verbal communication skills to communicate effectively with the public and staff over the telephone and in person.
  • Proven organizational and time management skills to effectively manage tight deadlines and sudden changes in priorities and workload.
  • Strong analytical and problem solving skills.
  • Strong interpersonal skills to work effectively with the public and staff, and build and maintain relationships with internal and external stakeholders.
  • Ability to handle sensitive and confidential information.
  • Proficiency with Microsoft Office (Word, Excel, Outlook and PowerPoint).
  • Ability to work independently and under mínimal supervision.

  • Experience preparing and processing invoices.

Duties:

The Administrative Assistant provides administrative and clerical support to the Assistant Deputy Minister (ADM).

Working with a high degree of initiative and independence, the incumbent will ensure effective and efficient office workflow by tracking assignments, managing electronic calendars, managing administrative processes and filing systems, along with the coordination, preparation and completion of various documentation.
