The
Office Manager reports to the Executive Director and is expected to provide courteous and efficient telephone, reception, and clerical support to all clients and assists with clerical duties in the Home.


Responsibilities:


  • Assists in the production and distribution of Home communiqués under the direction of the Executive Director or delegate.
  • Maintains and updates Home census.
  • Maintains employee fanout contact listing
  • Updates and distributes monthly audits/lists.
  • Prepares new resident files/charts and forwards information to the appropriate unit and Social Services Coordinator.
  • Prepares resident identification bracelet on admission and on request.
  • Assists with any corporate activities/special projects.
  • Demonstrates attitudes and beliefs consistent with being personcentered.
  • Orders supplies/stationery for all departments.
  • Receiving of monthly payments from families and/or residents and ensuring they are forwarded to the Accounting Department.
  • Assists with the resident trust accounts.
  • Assists with the mailing of resident billing.
  • Provides leadership and supervision to the receptionists.
  • Required to understand the nature and meaning of quality indicators used by the Home and to understand which indicators are publicly reported.
  • Required to participate in the improvement of the indicators and achieve satisfactory results.
  • Other duties as assigned and or indicated in the Job Task Inventory.

Qualifications:

The qualifications needed to join our family are as follows:

  • High School graduate or G.E.D.
  • Continuing educational courses in areas related to position summary an asset.
  • Working knowledge of computers.
  • Demonstrates expedient data entry skills.
  • Sense of responsibility, integrity, and confidentiality.
  • A minimum of one (1) year prior experience in a similar job capacity
  • Ability to handle multiple incoming telephone lines and multiple tasks.
  • Ability to operate general office equipment (calculator, photocopier, postage meter, fax machine, etc.)
  • Welldeveloped interpersonal skills and demonstrated ability to interact efficiently and courteously with residents, the public, employees, and volunteers.
  • Ability to demonstrate care in the use of supplies and equipment, and the ability to maintain a neat work area.
  • Good organizational skills.
  • Ability to work independently.
  • Must be levelheaded and calm in emergencies.
  • Second language is an asset.
  • To show evidence of being focused on people's feelings when interacting and knowing how to turn a task into positive social interaction.
  • To undertake and meet all legal requirements within the context of promoting individuals' rights and measuring/reducing elements of risk.
  • Must provide a complete and current (within six months) Vulnerable Sector Check (including a Criminal Background Check) or be willing to obtain one
  • Two supervisory references required
  • COVID19 vaccination is a condition of employment
