Position Summary:


Reporting to the Associate Director of Leadership for Ecozoic (L4E), the Program Manager will be responsible for ensuring the smooth functioning of the unit's administrative processes within a multi-disciplinary team.

The Project Manager will work closely with their counterpart at the University of Vermont on project-wide communications, events, and data collection, and will play a key role in administration of L4E.


Primary Responsibilities:

  • Manages administrative processes such as grants and award payments, postdoc appointments, expense reports, travel arrangements, and the acquiring of requisite travel visas for international students to visit the University of Vermont in the US;
  • Works with the Associate Director to identify new funding opportunities and develop proposals to ensure continuity of projects.
  • Tracks and oversees L4E accounts and expenditures and prepares monthend budget reports;
  • Develops and assists research initiatives (Territories of Life, Ecozoic Policy Project, Law and Governance).
  • Synthesizes and communicates strategic and project intelligence and promotes effective utilization in the design and execution of L4E work.
  • Develops and monitor's budget. Prepares budget reports as required; monitors and reports L4E progress to Steering Committee.
  • Guides Research Associates/Director/Associate Director with preparation of grant submissions and annual reports; and responsible for ensuring compliance with university guidelines and L4E best practices.
  • Prepares documents for major funding agencies for L4E.
  • Drafts Budget Requests for donors.
  • Creates and presents information sessions on administrative routines.
  • Delegate for signing authority for L4E Director and L4E Associate Director.
  • Liaise with government personnel, external stakeholders for administration of shared projects.
  • Updates and ensures accuracy of databases, including student progress and engagement in L4E activities (e.g. blog posts, course enrollment, tracking of university milestones for students etc.)
  • In collaboration with L4E Associate Director and CML Associate Director, develops and maintains communication strategies for internal and external stakeholders that maximize project objectives;
  • Creates content for bulletin to be distributed in print and electronic format, offering updates on L4E
  • Monitors the communications initiatives within the university and ensures coherence with University of Vermont (UVM) strategies;
  • Develops social media strategies and maintains social media platforms (website, Twitter, FB, Instagram, LinkedIn).
  • Organizes and manages researcher and partner meetings, colloquia, conferences, workshops and public presentations.
  • Oversees logistics of office and meeting space; supports use of technology (Owl, Zoom etc.) as needed.
  • Keeps up to date with relevant initiatives, conferences and events that can contribute to supporting L4E strategic planning and goals;
  • Makes travel, meeting and other arrangements for meetings (Including booking space, catering, technology); and takes notes during meetings and events as needed;
  • Undertake specific/additional projects, the nature of which would be defined in collaboration with L4E Director and / or Associate Director, and by the intersection of L4E goals and objectives and the employee's interest and skill set.
  • Supervises tasks and hours of casual employees.
