About the Role:


Reporting to the Manager of Tenant Services, the Tenant and Property Specialist will be responsible for providing strategic tenant management, tenant relations, and lease enforcement.

This position focuses on preventing tenant evictions and enhancing the quality of life for tenants by addressing community issues. The Tenant and Property Specialist develops and maintains cooperative relationships among community agencies, staff, funders (ROP), and tenants. Additionally, they actively participate in building a sense of community and coordinate related activities for tenants.


Duties and Responsibilities:


Tenant Resource and Guidance

  • Act as a resource for tenants, community agencies, ROP and staff
  • Provide guidance to tenant service coordinators, facilities staff, and student placements on housing and tenancy policies

Individual Plans and Support

  • Support in collaboration with clinical supports individual plans for tenants at risk of eviction, coordinating additional supports if needed
  • Liaise with community agencies, internal staff, community stakeholders to develop and negotiate plans

Community Building Engagement

  • Provide support and guidance for (building) initiatives
  • Support, plan, coordinate, and facilitate building events and workshops in collaboration with clinical supports and community development
  • Support tenant associations, community members, and activities through funding proposals and implementation

Lease Management and Legal Proceedings

  • Manage tenancy matters related to lease agreements, including mediation, referral services, and crisis intervention
  • Receive rental payments and record as needed

Community and Tenant Support

  • Provide ongoing communication to tenants regarding projects and address concerns before, during, and after completion
  • Facilitate and coordinate activities/initiatives to support SHIP's housing plan
  • Overseeing rent collections, counseling tenants on their rights and responsibilities, and addressing tenant complaints in accordance with policies

Community Liaison and Representation

  • Participate and represent the department in meetings with agencies and community groups
  • Liaise and consult with community agencies and other staff to contribute to community capacity building and support tenant health and wellbeing

Documentation and Reporting

  • Assist tenants with completing forms, surveys, and other documentation (if needed)
  • Provide summary reports to management
  • Document rental payments and provide receipts
  • Document as needed within Yardi/CRMS as required
  • Preparing monthly reports for management, maintaining communication with the Tenant Relations Manager and Property Service Manager, and collaborating with maintenance staff on tasks such as tenant moveins/outs and damage assessments
  • Perform additional duties as required/delegated by Management

Qualifications:


  • Post education in Social Sciences, Business Administration, Property Management, Finance, or equivalent
  • Minimum of 35 years of experience in property management or property administration
  • Understanding of the Housing First philosophy
  • Experience working with vulnerable populations
  • Experience in residential, or commercial property management is preferred
  • Demonstrated experience in lease administration, tenant services, and financial management
  • Thorough understanding of property management principles, leasing procedures, and landlordtenant law
  • Proficiency in property management software and financial management tool
  • Knowledge of building codes, zoning regulations, and maintenance standards
  • Familiarity with budgeting, forecasting, and financial reporting
  • Exceptional organizational and time management abilities
  • Ability to prioritize tasks, manage multiple properties, and meet deadlines
  • Attention to detail in maintaining property records, lease agreements, and financial document
  • Proven ability to identify and resolve propertyrelated issues promptly
  • Creative problemsolving skills to address maintenance issues, tenant complaints, and other challenges
  • Strong interpersonal skills
  • Capacity to make strategic decisions and manage resources efficiently
  • Responsive and proactive approach to addressing tenant concerns and inquiries
  • Certified Property Manager (CPM) designation preferred
  • Additional certifications such as Certified Apartment Manager (CAM) or Facilities Management Professional (FMP) could be beneficial
  • Strong working knowledge of Microsoft software (e.g. Excel, Word, etc.) and Yardi
  • A valid Ontario Class "G" Driver's license and a vehicle with adequate insurance coverage is required
