About the Opportunity:

The People & Culture Generalist is a member of the Human Resources team. The Generalist provides administrative support to the Human Resources Department ensuring confidentiality at all times. The Generalist is often the first point of contact for all staff, students & volunteers.

The Generalist is responsible for supporting internal and external recruitment and staffing processes for multiple vacant union and non-union positions, onboarding new employees, assisting with new employee and student orientation days, organizing Human Resources schedules, maintaining personnel and departmental files, preparing and sending departmental correspondence, setting up meetings and taking minutes, and answering inquiries from the public and other outside agencies.

The Generalist will compile and track statistical data, create and distribute HR reports, maintain office supplies and sort and distribute Human Resources correspondence.


DUTIES AND RESPONSIBILITIES

Administrative Support

  • Maintain personnel and department files and information in a confidential nature
  • Prepare and send departmental correspondence
  • Coordinate and scheduling meetings/interviews
  • Screen and respond to enquiries from the staff (internal) and public (external) about all HR related matters and vacancies
  • Order and maintain all office supplies and service of equipment, as required
  • Provide administrative support to special HR projects by assisting in research activities, as required
  • Maintain the hospital's badge system requiring creating and replacing badges for staff, physicians, volunteers and students

Planning and Organizing

  • Support managers in revising all job descriptions
  • Interprets or otherwise applies Human Resources policies in the mutual interest of the Hospital and employees
  • Schedule meetings, complete minutes, organize, and distribute committee / meeting information as required
  • Schedule all Labour Management meetings, prepare agendas and attend all meetings and take minutes for all unions

Recruitment/Selection/Onboarding/Orientation/Exit Interview

  • Oversees the recruitment and selection process for all internal/external job vacancies including:\
  • Create job postings (once approved) and post all jobs internally and externally (insuring compliance with collective agreements, pay equity, legislation and Hospital policy
  • Maintain the Hospital website/job postings
  • Set up and participate in interview/selection process; ensures standard selection criteria is developed and utilized
  • When posting closes for internal postings pull seniority lists, review against requirements of job posting and reach out to senior applicant to offer position. If declined, proceed to next senior applicant. Once applicant is identified advise department manager and request start date
  • Oversees the onboarding of all new hires and internal movement of staff including:
  • Pre start date; schedule a dated/time with new staff to come to HR for their onboarding and completion of all required paperwork.
  • Book onboarding orientation session with Occupational Health
  • Reviews hospital personnel policies and procedures with new staff members
  • Review and ensure completion of all required onboarding/preboarding paperwork is returned before date
  • Onboarding of students in all departments
  • Oversees the orientation of all new staff/students including:
  • Assists with organizing hospital general orientation
  • Liaison with the Vice President Clinical Services, CNE, Chief Human Resources Officer to organize and implement student orientation sessions
  • Ensure that there is an appropriate Affiliation Agreement in place for students, as required

Compensation and Benefits

  • Advise and authorize payroll office of employee status changes, salary, vacation entitlement and benefits
  • Set all new hires up with HOOPP with provider and advise payroll accordingly

Other Duties

  • Assists in care and maintenance of office equipment
  • Sick Reports on a monthly basis
  • Reports on an ad hoc basis
  • Schedules meetings, arrange appointments, arrange for and confirm meeting logistics (A/V equipment setup, physical layout of meeting room, catering, etc.)
  • Other duties as assigned
