About the role:
Responsible for all Accounts Payable processes, as well as administrative tasks associated with the Finance department. Ensures input and timely payment of all vendor invoices. Processed weekly check run and monthly journal entries and reports. Participate and collaborate positively as part of the Central Services team. Resolved collection and invoice discrepancy matters. Meets the expectations of the internal customer.


Responsibilities:


Accounts Payable

  • Ensure accurate coding (by department and expense codes) and authorization
  • Process timely payments by cheque and EFT
  • Balance statements from vendors
  • Calculate and prepare all monthly agency telephone, internet, cable, utility, tax and other bills
  • Investigate all discrepancies with invoice totals and work with the company to clean up accounts
  • Ensure organization, balancing and entering of monthly VISA statements

Bookkeeping

  • Post journal entries and support reconciliation of accounts, review general ledger discrepancies and prepare monthly financial statements and variance reports for all programs
  • Review and ensure appropriate use of company credit cards and cell phone charges
  • Identify opportunities for increased efficiency
  • Reconcile and resolve discrepancies independently using advanced problemsolving skills
  • Support the completion of yearly agency audit
  • Support fiscal budget setting process
  • File and sort documents (paper and electronically, creating consolidated reports when necessary)

Administration

  • Clerical duties such as sorting, filing, photocopying, and collating documents
  • Locate filed materials upon request, ensuring that materials are provided only to authorized users
  • Order and process requests for gift cards, bus tickets, business cards and cell phones for all programs
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence
  • Receive electronic and telephone inquiries and respond accordingly
  • Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance and legislative requirements
  • Balances accuracy and efficiency in work.

Qualifications:


  • Accounts payable, and general office assistance as required
  • Managing computerized financial systems, spreadsheets and word processing programs

Filing, collecting, and organizing documents and information:

  • Completion of a college program in accounting, bookkeeping or a related field or equivalent practical experience
  • Knowledge or experience with Xero, Dext, Plooto software considered an asset
