Location - This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus, Edmonton.
Reporting to the Faculty General Manager, the Admissions Coordinator and Student Advisor is
responsible for the management of Law undergraduate and graduate student services including admissions, enrolment, credit assessment, grade approval, academic standing, course registration, graduation, student records, University of Alberta Calendar information and first year student course enrolment. The incumbent works with the Associate Dean (Graduate Studies) to review and rank eligible graduate students and authorize graduate student registration. This position provides advice on University of Alberta policies and procedures for undergraduate and graduate admissions, and acts as a Law resource to external agencies and individuals on faculty policies and procedures for admission to all Law credit programs. This position is also responsible for compiling and providing statistics on admissions annually and as requested for specific purposes. There is a half-time Admissions Assistant who reports to this position.
Founded in 1912, the Faculty of Law is Western Canada's oldest law school and a national leader in legal education and scholarship. With approximately 525 JD students and a robust graduate program, it is home to four research groups that provide critical insight and policy expertise: the Wahkohtowin Law Governance Lodge, Health Law Institute, Centre for Constitutional Studies, and Alberta Law Reform Institute.
Admissions, Records and Advising (60%)
- Oversees and ensures effectiveness of undergraduate student admissions, responding to admissions inquiries about all Law credit programs from prospective students and advising on complex or non-routine queries about admissions, program requirements and course registration, including Monitoring applications in Slate, and ensuring prospective students have submitted required documentation, which is verified for accuracy and completeness.
- Responsible for admission procedures and ensuring relevant sections of the University Calendar are accurate and up-to-date, processing required changes and advising the Law Leadership Team as necessary.
- Assesses undergraduate coursework and performs GPA calculations along with LSAT scores to determine admissibility.
- Ensures grades are processed accurately and in a timely manner by monitoring electronic grades submitted by instructors for non-compliance with grade distribution in accordance with Law Faculty Council guidelines and sending grades back to instructors to be changed when not compliant. Informs the Vice Dean if compliance issues are not resolved.
- Determines graduation eligibility for undergraduate students, reviews student records for eligibility for academic awards (Dean's List, First Class Standing and Degree with Distinction) and updates student records, ensuring student lists are accurate and collaborating with the Office of the Registrar as required.
- Assesses student records for academic standing, retaining course rankings and class averages for each term, including course failures. Works in collaboration with the Vice Dean to ensure students are notified in writing if required to withdraw from the program and updates student information in PeopleSoft.
- Processes documentation required for academic appeals, advises students on required procedures, provides them with a written record of the remedy or decision of the Appeals Committee, and updates student record after a decision is finalized.
- Works closely with Law Recruitment and Financial Advisor and periodically participates in student recruitment initiatives, including visiting appropriate institutions to promote Law programs.
Graduate Programs (25%)
- First point of contact for prospective students, assessing students for admission, advising and assisting successful applicants with program registration and other requirements including processing grade approval, registration and graduation as well as professional development aspects of students' programs.
- Determines eligibility of applicants to Law graduate programs and assists admitted graduate students with program registration and other requirements and ensures all forms required for final submission of a thesis are complete and correct and required fees are paid.
- Prepares admission evaluation report and files for Law Graduate Committee for a final decision on admissions.
Other Responsibilities (15%)
- Directs work of Admissions Assistant and provides training, coaching and performance appraisal.
- Maintains current and historical data for reporting, decision-making and planning purposes, including compilation of annual and ad hoc statistics and trend analyses, and compiles statistical report for annual
- Admissions Committee report to LFC.
- Maintains statistics on course failure, course rankings, grade distribution and class averages.
- Prepares reports for approval of grades after fall and winter academic terms.
- Schedules and prepares material for JD Admissions. LLM Admissions and Appeals Committees, including agenda and required documents, attends meetings and takes minutes.
Assists with other annual student events, including Dean's Welcome, Student Orientation and Convocation Lunch.
Undergraduate degree in an appropriate discipline.
- Three years related experience.
- Numeracy skills to calculate prediction indicators by applying mathematical formulae to GPAs and LSAT scores.
- Excellent interpersonal skills, including cross-cultural sensitivity and the ability to create a rapport with students who may be in distress.
- Experience with relevant University enterprise systems (PeopleSoft - Campus Solutions, Slate, GSMS, Freshservice, EDRMS).
- Proficiency with Microsoft Office (including proficiency using Excel) and Google applications.
- Effective time management to resolve conflicting priorities and meet tight deadlines.
- Strong analytical and problem-solving skills.
- Ability to work independently.
- Experience in a post-secondary student services office is an asset.
