    Admissions Assistant

    (2 Positions Available)

    Start Date: As Soon As Possible

    Salary Range: $43,525.61 to $58,887.59

    Location: 7 Fultz Campus

    Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)

    Under the direction of the Coordinator, Admissions, the Admissions Assistant supports the efficient processing of applications to the institution. The Admissions Assistant is responsible for receipt and preliminary review of all secondary, post-secondary, English Language Institute and MITT High School applications and accompanying documents, and providing support to Admissions staff and activities.

    Responsibilities include but are not limited to:

  • Responsible for processing a high volume of application documentation and correspondence through all stages of the admissions process.
  • Conduct initial application review and determine the documentation required to enable a formal evaluation and admission decision; communicate outstanding application requirements.
  • Validate all applicant information and documentation to ensure the accuracy of applicant files and student records.
  • Update status of applications on the application portal.
  • Authenticate documents; verify and validate standardized English examination results and National Examination results (where online validation is possible)
  • Assess applicants with previous post-secondary studies for institutional accreditation.
  • Coordinate admission testing (Oxford English Test, Technology Programs Aptitude Test, etc.) for applicants.
  • On-going communication with applicants regarding file completion, upcoming deadlines, and outstanding documents.
  • Match documents arriving by mail and email with applicant files in the system to ensure efficient processing of applications and identification of missing information.
  • Manage past-due applicant accounts (i.e. past-due document requests, past-due offers of admission, etc.)
  • Identify duplicate applications and manage the process of merging duplicate accounts.
  • Assist with the production of correspondence, updating and editing of communication templates.
  • Manage the Admissions Inbox. Respond to a large volume of written and verbal inquiries from students, applicants, and recruitment agents regarding their application for admission.
  • Act as the first point of contact in Admissions for in-person and phone support to applicants, students, and staff as needed.
  • Oversees the administration of the Provincial Attestation Letter (PAL) for applicants.
  • Use the CAMS Student Information System to perform updates as required to applicants' personal data.
  • Provide support to the Registrar's Office and other units for seasonal activities such as graduation, convocation, orientation and open house events.
  • Maintain confidentiality of student records in the application system and Student Information system in compliance with the Privacy Act (FIPPA).
  • Required Qualifications and Experience:

    A combination of related education and experience may be considered.

  • Undergraduate degree or diploma preferably in Business Administration or related field.
  • 1 year of administrative experience required, preferably within a Registrar's Office of a post-secondary educational environment.
  • Strong computer skills including experience with Microsoft Outlook, Word, Excel, PowerPoint and other software such as Adobe.
  • Accurate keyboarding skills at a minimum 40 words per minute
  • Must have the ability to analytically assess documentation from different secondary and post-secondary educational systems, both Canadian and international.
  • Preferred Qualifications and Experience:

  • Experience working with domestic and international students.
  • Knowledge of MITT admissions policies and procedures.
  • Experience working with a student information system and / or admissions system.
  • Experience with video communication software (Zoom, Microsoft Teams etc.)
  • Conditions of Employment:

  • Legally entitled to work in Canada.
  • Successful completion of a Criminal Record check including vulnerable sector and Child Abuse Registry Check.
