Forest Hill Orthodontics is looking for a passionate, energetic, Administrative Coordinator to join our well-established beautiful practice in Toronto, Ontario.

This role is suited for an individual with a vibrant personality who is an excellent communicator. Having empathy and being able to support and manage a team is essential. The individual must have experience working in a reception capacity as well as having some experience in administrative duties.

About the job - key responsibilities:

  • Responsible for administrative data integrity (patient statuses, implementing software changes)
  • Responsible for training new administrative team members
  • Ensuring a smooth and patient focused new patient process
  • Trouble shooting and addressing administrative issues that may arise
  • Working with the clinical team lead to address any clinical scheduling concerns/issues
  • Supporting the Doctors and Office Manager as needed
  • Ensure that the schedule accounts for the appropriate amount of doctor time, filling openings as necessary
  • Creating administrative protocols as needed and ensuring protocols are being followed
  • Working with the marketing team to coordinate contests, referrals and events
  • Reading a Profit and Loss report and helping to impact on positive results
  • Greet patients as they arrive and make them feel welcome.
  • Book appointments for new and returning patients utilizing the appropriate scheduling templates.
  • Manage patient statuses and ensure that appointments are booked or archived accordingly.
  • Enter relevant patient information into the computer and file all incoming correspondence and xrays once they have been scanned.
  • Manage active patient files and archive files for patients who are no longer in treatment.
  • Confirm that appointment reminders are being sent out, followup with unconfirmed appointments, and reschedule noshows.
  • Take payments received at the front desk, post them, and provide receipts to the patients.
  • Answer the telephone to direct calls, take messages, assist with patient emergency calls and answer general inquiries; followup on messages left during clinic closures.
  • Be an active participant in staff meetings and committee meetings.
  • Work cohesively with fellow team members to provide an atmosphere of trust, mutual respect, and cooperation.

What you bring - qualifications:


  • One to two years of administration experience within a clinical setting (preferred)
  • Experience working in a general dental clinic is an asset.
  • Experience working with dental insurance plans an asset.
  • Working knowledge of Microsoft Office suite; proficiency with dental management software systems is an asset.
  • Exceptional interpersonal and communications skills (verbal and written), with a proven ability to build strong relationships and rapport with patients, parents, doctors, fellow team members and the community.
  • Keen attentiontodetail and time management skills.
