Your resume should show us:


  • 2+ years of experience in office administration
  • Excellent attention to detail with high standards for quality work
  • Proficient in MS Office 365 products with advanced word processing and spreadsheet skills (Word, Excel, Outlook, Teams)
  • Ability to organize multiple meetings/events across different offices in both inperson and virtual format

Bonus points for:


  • Experience with planning and coordinating office events
  • Certificate in Office Administration or equivalent
  • Knowledge or experience with COR

A Little More About the Role:
This is a benefits eligible, permanent full-time role working a minimum of 40 hours per week.

This role will report to the Administrative Lead, providing day-to-day support to the Langley office, administrative team, and various disciplines and offices throughout the BC region.

This is a hands-on position intended for career-oriented applicants who are seeking a long-term position in the administrative field.

Since this position is constantly evolving, we are seeking an individual who is passionate and driven to grow their administrative career in an industry-leading organization.


Responsibilities:

If you worked with us last month, here are some things you may have done:

  • Greeted and directed office guests as well as managed incoming and outgoing calls in a professional manner
  • Assisted in planning office and corporate events
  • Prepared courier packages and managed couriers (Purolator/Novex)
  • Upkeep of office (e.g. watering plants, filling and emptying dishwasher, organizing, maintenance, janitorial service, etc.)
  • Coordination for printer service and maintenance
  • Coordination for parking requirements for staff and guests
  • Petty cash reconciliation
  • Ordered and maintained office supplies and promotional items online and in person (e.g. tracked, unpackaged, inventory)
  • Maintained digital and hardcopy filing, including monthly filing audits
  • Maintained online library and placed orders
  • Filing and document archiving
  • Cross referenced and updated documents
  • Shredding
  • Assembled documents, convert to PDF, photocopy, print, scan, bind, etc.
  • Organized meetings and calendar bookings for boardrooms and staff members: prepared boardrooms, ensuring the needs of all participants are met (e.g. audio/visual, food/beverages, cleanup)
  • Assisted in managing fleet vehicles (e.g. bookings, updating tracking spreadsheet, submitting unit reports, maintenance)
  • Safety Administration, COR training/certification, office safety inspections, maintained First Aid and fire safety supplies, maintained certificates, manual updates as required
  • Prepared tender documents, updated spreadsheets, and assisted in contract preparation
  • Assisted with progress payment certificates for construction project
