Temporary Part-Time Human Resources Administrator

20-30 hours/week (on-site with flexible working schedule)

July/August 2023 to December 31, 2024 or upon return of the incumbent

Our annual operating budget is roughly $111 million.


Responsibilities:


We are seeking a dedicated HR professional with a passion for excellence in employee services to join the HR team at the School Board Offices in Courtenay, BC.

Reporting to the Director of HR, the temporary HR Administrator provides support to two HR Advisors in areas such as:


  • Job postings, FTE tracking, data entry in employee databases
  • Administering leaves and medical/disability claims
  • Maintaining inventory of equipment for workplace medical accommodations
  • Preparing employment contract documents
  • Administering skillsbased testing and seniority lists for unionized staff
  • Data entry and processing of assignment/location changes in HRIS
  • Performing employee data extraction and reporting for internal and external clients
  • Maintaining information on the Employee WebCentre and preparing weekly news post
  • Administering documents on the HR team's sharepoint/collaboration portal
  • Ensuring compliance with legislation, employment laws and district policies/protocols
  • Coordinating employee surveys, training initiatives, employee events and staff inservice
  • Receiving and responding to job applicant/employee inquiries, doing research on HR related matters and performing other related duties as assigned by the Director of HR


The incumbent of this position is expected to maintain a high level of confidentiality and professionalism in all matters pertaining to the district and its employees; to multi-task, prioritize and manage numerous interruptions while handling a heavy workload; to perform a wide variety of HR tasks requiring independent judgment and involving employees with diverse needs at all levels of the organization, as well as the public.


The successful applicant will possess:
The successful applicant will possess superior interpersonal skills, outstanding data management skills, and demonstrated abilities to be resourceful and adaptable in a complex and changing environment, in addition to:

  • Formal post-secondary education/training in HR or related discipline
  • Successful work experience in an administrative role in HR or a related field
  • Expert level of computer proficiency using HRIS and Microsoft Office software
  • A track record of superb client services skills
  • Knowledgeable with employee surveys and social media tools to support employee engagement
  • Demonstrated organizational skills and ability to adapt quickly to changing priorities
  • Detailoriented with excellent analytical skills
  • Collaborative approach to problem solving and decision making in a unionized environment
  • Proven ability to plan, followup and follow through
  • Excellent communication skills (both written and oral) and public relations skills
  • Demonstrated ability to meet deadlines, to work independently as well as a member of a team
  • Selfmotivated with a passion for excellence and continuous improvement
  • Proven ability to be a thoughtful team player and a positive role model
  • An approachable demeanor with a balance of assertiveness and empathy
  • An adaptable personal/professional style with a creative mindset and a sense of humor
  • Commitment to align with and live by the HR Department's vision, mission and values
  • Knowledge of legislation affecting employers and employees
  • CPHR designation, or working toward it, would be an asset
