Your role
Join our team as an IPD Project Administrator
Responsibilities:
- Plan and coordinate all IPD ''Big Room'' meetings with all partners and participants
- Organize hybrid meetings with both inperson and virtual partners by managing various collaborative software and document management tools
- Attend IPD project related meetings, while ensuring to take and prepare meeting minutes for distribution to attendees in a timely manner
Most meeting discussions will be technical in nature requiring the recorder to have some technical background and project management knowledge/experience)
- Assist in the preparation of IPD projects progress/status reports, project quality reports, monthly reports and dashboard reports
- Use and manage digital collaboration tools
- Manage and maintain electronic or manual files
- Respond to internal and external inquiries, performing administrative tasks and participating in the planning and organization of work activities
- Provide support services for various office management processes and ebusiness using tools such as word processing, document scanning, architectural and engineering drawing management support
Qualifications:
- Minimum 3 years of experience
- Excellent administrative, financial and organizational skills
- Excellent written and oral communication and presentation skills
- Ability to prioritize competing tasks to meet tight deadlines
- Ability to take initiative and be detailoriented
- Ability to adapt in a fastpaced work environment
- Diploma in business administration, construction management, finance, engineering, architecture (or an equivalent combination of academic and practical experience)
