Description
We are looking to hire an Eaton Arrowsmith Office Manager (Onsite & Online) and Administrative Assistant to join our team You will be responsible for overseeing the below duties of the organization(s):


Responsibilities:

Office Manager Duties

Mailing out of reports and other important/ confidential documents

Mail merging documents from CRM and databases

CRM Data entry and analysis (i.e. what's missing for students /enrolments / opps, etc.)

Update/maintain student information data base/CRM system

Processing registration documents - creating enrolment records, etc.

Ensuring that data is collected at each point and entered/stored appropriately

Responding to request from students, teachers and parents


Working with Finance to coordinate:
receipt of payment, post-dated cheques/tuition deposits, collection calls; contract reviews.

Annually, providing families of all Canadian schools/centres letters supporting documentation for the medical tax credit letters.


Acting as the main liaison between the schools and the Ministry of Education and updating data collection in September and February of each year.

Coordinating the Managers' online calendar and booking appointments and events for Principal and Admissions team - as needed

Vacation and sick day coverage for onsite teachers acting as a TA where needed.

Admissions Assistant

follows up with families in a way that reflects their stage in the CRM

coordinates school tours with site specific Leaders


Assisting the Registrar on an as needed basis:
Working with Administrative to produce and send out enrollment documents to all students

Sending, receiving, processing and storing registration forms and other documents

Answering families' questions throughout the admissions & registration process


Assisting the Finance team on an as needed basis:
Confirming accuracy of Tuition Payment Agreement received

Following up with clients on late payments, or missing information as required


Qualifications:

Bachelor's Degree or Diploma (preferred)

Previous experience in administrative services or other related fields (3+ years)

Ability to prioritize and multi-task

Strong organizational skills

Deadline and detail-oriented

Strong leadership qualities


Hours & Location:

Onsite (Vancouver)

7am - 3pm Monday - Friday (5 days a week 8 hrs/day) - Sept - June

8am - 4pm Monday - Friday (5 days a week 8 hrs/day) - Mid June - August

30 minute lunch break

Ability to transition to Remote work as required


Remuneration:

$40,000 - $50,000/year (depending on experience)

Winter Holiday - 2 weeks (set dates)

Spring Break - 1 week (set dates)

Sick Leave:

As per BC Employment Standards

Not to be accrued from year to year


Dress:

Business casual attire
