Responsibilities:


Essential Duties & Responsibilities

  • Act as a liaison, by developing and maintaining excelled relations, before and during the transition process, from developers, board members, and previous management companies, internal and external clients;
  • Send notification to affected parties of the transition. That could mean owners, board members, other managers, or affected internal departments such as accounting, IT or invoicing;
  • Working with the Transition Coordinator in updating our related files during transition process;
  • Works in collaboration with Edmonton Operations Support to ensure consistent delivery of transitions for the Edmonton market
  • Arranging and conducting meetings with the regional director, community mangers and affected departments as required;
  • Working with community managers to ensure proper collection, organization, digitation and filing of all paper and electronic condominium corporation documents;
  • Own all aspects of the transition process, including onboarding, documentation, and communication both internal and external;
  • Communicate timeline and expectations for transition and milestones to internal and external customers;
  • Availability to participate in board/client meetings, presentations, AGM's and site visits/walkthroughs as required;
  • Participate in the strategy of presentations with internal preparation of materials;
  • Other initiatives as required and identified by senior leadership;

Additional Duties & Responsibilities

  • Practice and adhere to FirstService Residential's Global Service Standards;
  • Conduct business always with the highest standards of personal, professional and ethical conduct;
  • Perform or assist with any operations as required to maintain workflow and to meet schedules;
  • Notify senior management of potential operating problems and assist in the development of plans to correct internally;
  • Ensure all safety precautions are followed while performing the work;
  • Follow all policies and Standard Operating Procedures as instructed by Management;
  • Perform any range of special projects, tasks and other related duties as assigned;

Education & Experience

  • Licensed through RECA as a Condominium Property Manager, and in good standing
  • Three years' practical experience managing residential condominium buildings
  • Strong knowledge of the Condominium Property Act, as well as rules and regulations
  • Strong proficiency in MS Office suite, including Word, Excel, Outlook

Knowledge, Skills & Proficiencies

  • Able to understand financial budgets and the budgeting process.
  • Able to read a set of building drawings, interpret property bylaws, and follow lawful instruction and read financial statements
  • Demonstrates strong and effective customer service and relationship building skills, such as:
  • Ability to be able to immediately develop rapport with a variety of personalities and "types" of clients and potential clients during and after the transition process; and
  • Ability to be "of service" to all internal customers, effectively working with multiple styles and regional influences that present unique needs and demands on the transition process;
  • Attend both internal and external meetings and / or events, which may include but is not limited to; industry conferences; client meetings or sales pitches
  • Possess excellent grammar, spelling and proofreading skills;
  • Demonstrate good common sense, sound judgment, and a high ethical bar;
  • Consistently perform at high levels in a fastpaced everchanging work environment;
  • Ability to work independently; capable to take ownership of assigned tasks and to anticipate work requirements proactively;
  • Ability to manage several projects at once;
  • Highly organized and detailed individual who is able to meet tight deadlines, deliver, and follow up;
