Job Duties and Responsibilities:


  • Create, update guidelines and instructions to implement administrative operations, procedures, and timelines for various construction projects;
  • Supervise and coordinate office administrative procedures while also assessing and implementing new procedures, establish work priorities for various construction projects;
  • Carry out administrative activities;
  • Coordinate and plan for materials supply needed for the office and the construction projects by approving quotes, placing orders, and following up with suppliers;
  • Implement and oversee timelines provided by the project scheduler and coordinate updates and changes of timeline;
  • Establish priorities for tasks, delegate work to support staff, train staff, and ensure adherence to deadlines and procedures;
  • Conduct analyses and oversee administrative operations related to budgeting, contracting, and project planning and management;
  • Assist in preparing and maintaining inventory and budget controls, approving and issuing monthly payments as applicable;
  • Update and maintain the internal operating system (Monday and NextCloud);
  • Gather data and create regular and special reports, controls and correspondences;
  • Coordinate the completion of a construction project by facilitating communication between the technical team (including engineers, project designer, project scheduler, and site supervisor), various internal staff and various external actors;

Necessary Skills and Qualifications:


Education

  • Postsecondary education in business administration: a university degree or college diploma

Experience

  • 2 to 3 years of fulltime work experience as office coordinator or administrative officer;
  • Relevant/Senior work experience as office coordinator or administrative officer in a construction or constructionrelated business is considered an asset.

Skills:


  • Strong skills in Project management software (Monday and NextCloud), MS Office, MS Project, MS Excel, MS Outlook, MS PowerPoint & Teams.

Assets:


  • Familiarity with AutoCad, Revit;
  • You are a Canadian citizen, a permanent or a temporary resident of Canada.
  • You have a valid Canadian work permit.
