Job Duties and Responsibilities:
- Create, update guidelines and instructions to implement administrative operations, procedures, and timelines for various construction projects;
- Supervise and coordinate office administrative procedures while also assessing and implementing new procedures, establish work priorities for various construction projects;
- Carry out administrative activities;
- Coordinate and plan for materials supply needed for the office and the construction projects by approving quotes, placing orders, and following up with suppliers;
- Implement and oversee timelines provided by the project scheduler and coordinate updates and changes of timeline;
- Establish priorities for tasks, delegate work to support staff, train staff, and ensure adherence to deadlines and procedures;
- Conduct analyses and oversee administrative operations related to budgeting, contracting, and project planning and management;
- Assist in preparing and maintaining inventory and budget controls, approving and issuing monthly payments as applicable;
- Update and maintain the internal operating system (Monday and NextCloud);
- Gather data and create regular and special reports, controls and correspondences;
- Coordinate the completion of a construction project by facilitating communication between the technical team (including engineers, project designer, project scheduler, and site supervisor), various internal staff and various external actors;
Necessary Skills and Qualifications:
Education
- Postsecondary education in business administration: a university degree or college diploma
Experience
- 2 to 3 years of fulltime work experience as office coordinator or administrative officer;
- Relevant/Senior work experience as office coordinator or administrative officer in a construction or constructionrelated business is considered an asset.
Skills:
- Strong skills in Project management software (Monday and NextCloud), MS Office, MS Project, MS Excel, MS Outlook, MS PowerPoint & Teams.
Assets:
- Familiarity with AutoCad, Revit;
- You are a Canadian citizen, a permanent or a temporary resident of Canada.
- You have a valid Canadian work permit.
