Project Manager


Our Executive Director association management services in Gatineau is seeking a Project Manager who is able to perform a variety of project management, marketing, operations and administrative tasks for us and the non-profit associations we support.

He/she also co-ordinates a wide range of company activities working closely with the CEO. His/her primary responsibilities will involve identifying business processes and setting into place a project management dashboard in Zoho.

When necessary, this role may be called up to deputize for the Executive Director(s) of our clients and CEO.

He/she may also be called upon to provide administrative coverage during staff vacations and assist in administrative support to ensure the efficient operation of the organization.

We're looking for a committed member of the company willing to take on a wide range of responsibilities as necessary to ensure the successful development of projects and the smooth running of the organization and the associations we support.


Work is to be at the office as an employee OR Hybrid if as a freelancer, but you must live in the Ottawa, Gatineau region.

15 hours per week of work is expected to be required to start. However, operational requirements may on occasion increase that number to 20 hours per any given week. As our business requirements grow, there may be an opportunity for more hours. A flexible schedule is possible but all work must be during normal business hours on a committed weekly schedule. We are open to either an employer/employee model or engage the right individual on a freelance basis.


Project Management

  • Implement a project management process in Zoho
  • Act as the lead administrator on our project management software (Zoho) dashboard to:
  • Plan and coordinate administrative procedures and systems
  • Devise ways to streamline processes

  • Attend association client meetings acting as the staff project coordinator
  • More specifically, supports the logistics of meeting and attends meetings, takes meeting minutes, and assists in creating agendas
  • Coordinates project stakeholder advisory groups and committees
  • Liaise with the Executive Director and Administrative Coordinator to work within the team providing support as needed.
  • Work with the Executive Director to organise events and community activities to support our client's advocacy and fundraising activities
  • Act as a liaison for the Executive Director(s) of our clients.
  • Maintain the perpetual calendar of Our Executive Director activities and that of our clients in the project management dashboard
  • For our client, PMAC, act as the primary Managing Director of the association
  • For our client, IECA Canada, coordinate the activities of the Contractors' Alliance.
  • Ensure the liaison between the various committees
  • Marketing work:
  • Act as the communications director for a number of our client associations
  • Influencer outreach and regular marketing communications support.
  • In more general marketing communications support, you will take the lead in the supporting the Society of NonProfit Board Directors summit's outreach efforts to secure speakers, registrants and affiliates.
  • Provide strategic recommendations to improve outcomes
  • Prepare reports on marketing activities, including costs, revenue generated, and customer feedback

Qualifications/Requirements:


  • Experience in a Mac environment as well as with project management software (great preference given to Zoho Sprints)
  • Proven experience as administration manager
  • An analytical mind with problemsolving skills
  • Excellent organizational and multitasking abilities
  • A team player with leadership skills
  • Bilingual in French and English (advanced abilities in understanding, written and speaking both languages)

  • Professional, reliable, organized
  • Computer proficiency In an Apple/Mac environment, Google Docs, Word, & Excel
  • Experience in influencer marketing, social media, PR or digital strategy
  • Excellent organizational and communication skills
  • Ability to master multiple projects simultaneously and prioritize
  • Outstanding relationshipbuilding, time management

Experience

  • Five or more years experience in a project management position supporting boards and committees
  • Five or more experience as an office manager, administrative officer, or project manager

Highly regarded assets:


  • Understanding of Nonprofit sector (asset) and/or experience in the notforprofit, voluntary sector
  • Five to ten years experience coordinating large scale events, both in person and online
  • Ability to work both independently and in a small team
  • Experience administering and working in Zoho Projects and/or Zoho Sprints
  • Proof of project management training
  • Fluent in all soc
