We're on the search for an experienced Workplace Administrator, in this role, you'll provide administrative support to the Workplace organization, by acting as Workplace Administrator for the team.

You will perform a wide range of tasks, and handle details of a confidential and critical nature while using your experience to proactively address potential problems and ensure an efficiently functioning team.

The Workplace Administrator will assist to maintain the site to meet high company standards for organization, cleanliness, aesthetics, and sustainable operations.

Proactively coordinates day-to-day facilities operations, working directly with the Workplace Manager, and/or property management groups. This role is based in Toronto and an onsite role. It reports into Toronto's Workplace Manager.


Responsibilities:


  • Assists with maintaining daily operations of the physical facility
  • Supports maintenance mechanics and facilities staff by performing "handyman" maintenance duties such as furniture moves, simple electrical projects, spot painting and/or cleaning, light construction and/or exterior cleanup
  • Works with outside contractors on building and equipment repairs
  • Operates site equipment as needed, using hand and power tools as necessary
  • May perform other activities such as audiovisual (AV) set up for meetings or conferences, interoffice mail deliveries, wastepaper recycling, and stocking of employee break areas
  • May maintain documentation such as power diagrams, network diagrams, space usage, etc
  • May provide support to vendors/contractors such as security, cafeteria, media relations, building maintenance etc
  • Assist in coordinating events and hosting corporate visitors/dignitaries
  • Support the Facilities Department by maintaining filing and records in accordance with organizational and/or legal requirements
  • Assist with departmental purchases, payment and tracking as pertains to vendors. Work with Workplace Manager to ensure department bills are paid in a timely manner
  • Ability to serve as a backup with all shipping and receivingrelated tasks
  • Ability to serve as backup to Reception and all related tasks
  • Working with the Workplace manager supports other locations with creative and administrative initiatives as needed
Minimum Qualifications- Relevant facilities experience- Associate degree or equivalent, IFMA or similar accreditation- Experience with sustainable building operations- Technical experience with building control systems, environmental systems and audio/visual preferred Strong customer service skills - pleasant, friendly, cheerful, energetic, courteous and professional demeanour- Flexible and able to multi-task effectively- Previous project management experience- Organized and able to prioritize assigned tasks- Timely, accurate, and detail-oriented- Shows initiative and a willingness to learn- Ability to self-manage and effectively manage workload- Ability to collaborate with other business units within the Company- Valid driver's license- Must be willing to answer emergency after-hours calls when necessary- Must be willing to work overtime from time-to-time
