CUPE 5791 Job Family Operational Services Category Staff Number of Vacancies 1 Position Summary


This position is responsible for various financial, administrative and payroll duties related to the day-to-day operations of the Faculty of Education and the Centre for Educational Research, Collaborations and Development (CERCD).


Reporting to the Faculty Administrator, this position provides support to both the Faculty and the Centre for Educational Research, Collaborations and Development.

This position requires an understanding of University policies and will provide advice and guidance to Faculty, staff specifically around financial and payroll matters.

The incumbent interacts with a variety of individuals within the University and external to the University and is required to establish and maintain effective working relationships while exercising a considerable degree of judgement and discretion regarding sensitive and confidential information.

This position must be able to work both independently and in a team environment and have the flexibility to adapt to a changing work environment.


Duties & Responsibilities include:

  • Monitors and reports on budget expenditures for the attention of the Faculty Administrator and the Director of CERCD for decisionmaking purposes;
  • Provides accurate data/information for the CERCD budget, planning and forecasts;
  • Prepares financial transactions specific to CERCD (reimbursements, journal vouchers, travel claims, etc)
  • Tracks requisitions, journal vouchers and travel requisitions specific to CERCD in accordance with Faculty guidelines and University policies;
  • Reconciles accounts on a monthly and yearend basis,
  • Troubleshoots, resolves and follows up on financial problems with relevant offices across campus as needed, including Supply Management, Financial Services, Human Resources, etc.;
  • Oversees the processing of all General Hire workflows, sessional hire workflows, honorarium request, and student appointments;
  • Identifies and resolves salary/benefit issues with payroll and ensures all backup documentation for appointments is received and filed appropriately;
  • Supports the faculties hiring process by preparing and posting jobs ads specific to student hires;
  • Oversees the Evergreen program and deployment of Evergreen computers in the Faculty (yearly cycle);
  • Oversees the signout of laptops, cameras and other hardware for the Faculty;
  • Oversees roombooking for the Faculty of Education;
  • Responsible for textbook orders;
  • Updates Faculty webpages(s)
  • Responsible for collecting, distributing and forwarding Faculty mail, updating mailboxes and coordinating couriers as necessary;
  • Oversees Faculty printer equipment and maintains the printer/mailroom, shared spaces and lounge in an orderly manner;
  • Orders supplies, maintains inventory of supplies and arranges for servicing of office equipment;
  • Oversees the Faculty key and access card list; and
  • Other duties as assigned.
Position Requirements


Requirements:

  • Grade 12 supplemented by the successful completion of a recognized business course combined, with a minimum of three years of progressively responsible experience preferably in a university environment; a suitable combination of education and experience may be considered;
  • Demonstrated knowledge and skill of Microsoft Office software including but not limited to Word, Excel, Access, Outlook, and PowerPoint and complex databases such as Banner;
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues;
  • Demonstrated ability to organize multiple tasks, while maintaining accuracy and attention to detail, and to analyze complex problems;
  • Effective verbal and written communication skills;
  • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community;
  • Ability to plan, develop, and coordinate multiple projects
  • Demonstrate strong analytical skills;
  • Database and records management and/or maintenance skills;
  • Financial and budgeting skills
  • Ability to deal with a diversity of people in a calm, courteous, and effective manner and exercise tact and discretion.
Physical Demands Pay Grade CUPE Phase 4 Salary Range $42, $57,457.40 Annually Status Term Work Hours

Monday - Friday 8:1- 4:30.
