In support of corporate Sampling programs established to validate financial obligations by customers and other postal administrations, the Supervisor is accountable for supervising and enabling the activities of a group of clerks engaged in the collection, verification, provision and reporting of sampling information in key major mail processing facilities.

The incumbent provides training and coordinates all activities and tasks related to achieving sampling targets (quotas). He/she prioritizes the workload of the sampling staff, and may assist them with sampling activities from time to time. This requires general knowledge of plant practices and characteristics including mail dispatch and arrival patterns. The role also requires shift work (days, evenings, nights and weekends).


Responsibilities:


  • Provides leadership to and supervises the employees engaged in sampling activities in the specified facilities; this includes administering Human Resources processes and timely input to SAP. Ensures through coaching, training and personal development activities that the team is efficient and effective at achieving its objectives and that its members realize their full capability within the team mandate and maximize their potential to contribute to other groups and assignments within the Corporation. May also participate in any consultations with the bargaining unit on changes regarding employee shifts, work locations or other types of bids.
  • Provides training and supervision to ensure the efficient collection of data required by the various sampling programs while respecting operational priorities and safe working practices. Ensures data obtained is reviewed and edited for completeness and accuracy that all source documents are examined and verified to ensure that impact criteria are met, and that source data is edited and corrected via interaction with source data collectors (e.g. Plant supervisors) to resolve any discrepancies or errors.
  • Acts as single point of contact for all communications and enquires related to sampling programs within their area of operations. Communicates regularly with Mail Operations representatives and Head Office functions to ensure a complete, accurate and timely exchange of information and the employees touched by these programs. Ensures a professional relationship is maintained between Sampling and Mail Operations employees and resolves any issues that may develop which would interfere with efficient operations for either group.
  • Ensures the integrity of all sampling operations including volume of data collected in various mail streams. This includes monitoring samplers, understanding and compliance to sampling procedures and practices, performing audits of sampling operations from time to time to assess confidence levels, reviewing data gathered for viability and accuracy, and taking appropriate corrective actions when errors or problems are discovered.
  • Works closely with Head Office PC&R stakeholders (International Network/Corporate Metrics, Internal Costing and Transportation groups and Plant Operations) to ensure continuous improvement of sampling operations.

Job Responsibilities (continued):


  • Prioritizes activities and assigns workload of the sampling employees to ensure that the requirements of the various sampling programs are consistently fulfilled while also providing related clerical support such as filing, photocopying, preparation and distribution of reports, etc.
  • Validates the accuracy of weigh scales in sampling work area by conducting regular weekly checks and coordinating annual certification by supplier.
  • Ensures that cost allocation of hours to various sampling programs and related activities is tracked, documented and meets budget; and that the various activities are fairly distributed amongst the employees in the group.
  • May assist with regular sampling and related support activities.

Qualifications:

Education

  • Completion of secondary school according to provincial standards or equivalent (GED) is required AND
  • Completion of postsecondary (College/University) courses in a related field is required.
