The compassionate, patient-centred care that Hospice provides is made possible by a multidisciplinary team of nurses, personal support workers, counselors, spiritual care providers, housekeeping staff, and a chef, supported by a group of loyal and empathetic volunteers.


About the Role


As the Community & Supportive Care
Administrative Assistant you will act as the first point of contact for 100+ clients and general website inquiries.

You will be accountable for the administration of the wellness centre, scheduling of bereavement and palliative programs, client appointments and coordination of meeting room bookings.

You will ensure accurate data entry, maintenance, and reporting related to the clients, volunteers and staff of the Community & Supportive Care programs.

You will work closely with departmental staff to provide general administrative support that promotes the seamless delivery of care within Hospice, creating a welcoming and supportive environment for all.


Please note:
This position is on-site and will be required in the office five (5) days per week.


What you will do in this role:

  • Schedules clients for services and communicating changes regarding programs and appointments
  • Maintains computerized client records and database entries related to bereavement programs
  • Administration of the wellness centre including volunteer coordination, maintenance of treatment rooms, and laundry upkeep
  • Provides comprehensive meeting room scheduling and support including logístical, technological and catering requirements
  • Ensures accuracy of data entry for reporting purposes
  • Responds to website inquiries in a timely manner
  • Provides administrative support to the Community & Supportive Care staff
  • Works in collaboration with the Program Coordinator on client intakes, program planning and special events
  • Ensures the volunteers work in a safe, healthy, and supportive environment in accordance with all appropriate legislation and regulations

Qualifications & Requirements

We are looking for someone with the following:

  • Post-secondary diploma in Office Administration or equivalent experience
  • 1+ year relevant work experience
  • Office administration experience in a health care setting is preferred
  • Experience managing schedules
  • Strong verbal and written communication skills
  • High degree of attention to detail and is results focused
  • Demonstrated time management skills and ability to prioritize work
  • Demonstrated proficiency with Microsoft Office and various software
  • Physically able to move furniture and lift up to 40 lbs
  • Ability to be onsite 5 days per week Monday to Friday and attend occasional evening/weekend events
  • Criminal background check for working with vulnerable persons and proof of COVID19 vaccination required
