PRIMARY FUNCTION:

Ø Assist in the coordination of activities of related Scope/Trade Contractors.


RESPONSIBILITIES:


  • The Project Coordinator is responsible for assisting the Project Manager in managing the respective budget/costs, schedule, quality and respective overall scope/trade project status, and risks of the assigned scope/trade(s).
  • The Project Manager oversees the project team of their assigned scope/trades to establish the project scope and ensure the job is completed within budget and according to schedule.
  • The Project Coordinator assists in managing relationships with consultants, trades, owners, management, and other key stakeholders to provide updates regarding the project's progress, changes in schedule and budget, and notify them of any potential risks and associated implications.
  • Assist the Project Manager in the provision of overall management, administrative and technical direction on the construction project site as it related to the assigned trades and project scope of work.
  • Adhere to the Company's Site Safety Policy & Procedures.
  • Adhere to Company's document management processes.
  • Assist with maintenance of project files and preparation of reports.
  • Utilize Company's project management system (Procore) to complete all project administration.
  • Update project schedules as directed by project manager and superintendent.
  • Log, review and process all drawings, submittals, and shop drawings. Immediately advise the Project Manager of any non compliances.
  • Log, process and issue all site instructions, change notices, and RFI's. Immediately advise the Project Manager of any issues that may affect budget/cost/schedule or any contractual risks.
  • Research and resolve drawing interpretation problems, conflicts, interferences, and errors. Present design discrepancies to design consultants for resolution, prepare documentation, field design change requests, etc., as required.
  • Issue contracts and purchase orders as directed by the Project Manager.
  • Understand how to keep track of the labour force, together with site superintendents.
  • Involved in creating a schedule and labour plan for the project.
  • Learn how to prepare budgets, forecast, and reduce risk through managing scope and contract changes.
  • Assist the Project Manager in providing Monthly Status Reports regarding cost forecast, schedule, and cash flows.
  • Work with accounting department to ensure project accounting is accurate and timely.
  • Assist the Project Manager in working with Estimating in the procurement of Trade/Supplier/Services contracts.
  • Assist in the preparation of contracts (Trade/Supplier/Services).
  • Assist in the administration of the Scope/Trade(s) contracts.
  • Schedule and record the minutes of project meetings weekly, bi-weekly or monthly, as needed. Ensure that meeting minutes are issued within no later than 48 hours after the meeting.
  • Co-ordinate, manage and communicate with all subcontractors and effectively deal with problems such as delivery, labor, schedule, and payment disputes.
  • Be an ambassador of the company both internally and externally.
  • Maintain excellent relationships with trade contractors, architects, consultants and our clients.
  • Liaise with building authorities and regulatory agencies.
  • Enforce company and project policies and ensures project is constructed in accordance with design, budget, schedule, and project quality standards.
  • Assist the Project Manager in the assumption of responsibility for the Scope/Trade related commissioning of the project.
  • Maintain liaison with Scope/Trade Superintendent to ensure work on site complies with contract drawings and specifications and the project.
  • Assist the Project Manager in the comprehensive close out, including, but not limited to, archiving of documents, maintenance and warranty manuals, deficiencies, warranty work and coordinating the return of "as built" drawings from sub-trades, and winding down of the Scope/Trade(s) in concert with the completion of the project. The Project Coordinator has the primary responsibility for all facets of the project close out.
  • Assist in resolving assigned Scope/Trade Contractors construction problems such as site access and work interfaces, as required.
  • Ensure the implementation of the Project Safety Program and monitor Scope/Trade Contractors compliance with project safety program requirements; document and ensure corrective measures are implemented.
  • Perform additional assignments per supervisor's direction.
