    St. Michael's Hospital Mental Health and Addiction Service (MHAS) provides care to individuals with serious mental illness, substance use concerns and complex medical needs.
    The Black TAY Program is a priority pathway for black youth to receive timely assessment by psychiatrist to develop detailed treatment plans and referrals to clinical appropriate resources and service such as SW support within the MHAS.

    This role is in partnership with the Black Youth Helpline (BYH). BYH is a not-for-profit organization that brings innovative, professional, culturally relevant perspectives to understanding and addressing the root causes of challenges faced by children, youth and families. Its professional assessment process ensures that problems are first and foremost understood before they are addressed. Next steps are then driven by assessment outcome and the client¿s interest and goals.

    The primary role of the Administrative Assistant is to provide daily operational administrative support to the Black TAY Program in partnership with the Black Youth Helpline. Responsibilities include payroll, ordering and managing office supplies, managing databases, providing computer support to staff, patient registration, organizing clinic appointments, serving as a communications relay person for outreach staff, organizing educational and team events, etc. The individual may be asked to provide support to special projects as required.

    HOURS: Monday to Friday, 0900 to 1700 (some flex hours may be required to accommodate clinic hours).

    QUALIFICATIONS:

    • Graduate of a recognized secretarial program and/or equivalent experience; university degree is preferred.
    • Minimum of 3 years recent secretarial and administrative experience, preferably in a health care setting, is an asset.
    • Proficiency with computer software modules such as MS Word, PowerPoint (producing slides and overheads), Excel, Internet, E-mail, Library Search software, etc.
    • Sound knowledge of medical and psychiatric terminology.
    • Excellent organizational skills and is able to prioritize duties in an environment with multiple demands.
    • Excellent verbal and written communication skills.
    • Excellent interpersonal skills, in both individual and team work.
    • Proven ability to work independently and coordinate busy workload.
    • Experience interacting with clients with mental illness would be an asset.
    • Previous experience recording and generating minutes of meetings.
    • Must have an excellent attendance record.
