Position Overview

Our Central Operations team is looking for an enthusiastic and proactive individual who is committed to the member experience and excited to bring new ideas and efficiencies to our internal processes.

The Centralized Services Specialist (12 Months - Temporary) provides ongoing transactional and administrative support to Gulf & Fraser's branches, collaborating with branches and departments to provide an exceptional overall member experience.

The incumbent is a point of contact for general support across Gulf & Fraser's branch network as well as backend partner departments.

The Centralized Services Specialist follows innovative best practices to ensure efficiencies in a culture committed to continuous improvement.

Core Outcomes*- Branch Support_

  • Processes various general ledger entries, balancing and reconciling GLs and verifying data entries.
  • Posts transactions to accounts, including registered products, as well as fee waivers and other miscellaneous transactions.
  • Performs administration and oversight of estate files.
  • Acts as first point of contact for general support from branches including limits, passwords and general inquiries.
  • Reporting & Auditing_
  • Processes and reviews a variety of regular and adhoc financial and usage reports.
  • Performs administration of registered transactions, processes and procedures.
  • Performs administration of estate transactions, processes and procedures.
  • Identifies opportunities for efficiencies by recommending opportunities for report automation.
  • Performs regular auditing of files as well as special audit projects; assists in external audit preparations as needed.
  • Process Support & Collaboration_
  • Provides guidance, mentorship and coaching to other members of the Central Operations team as appropriate.
  • Collaborates and builds partnerships with external departments such as Finance, Business Solutions, Member Experience, Risk and other departments for support and process efficiencies
  • Identifying and escalating potential AML, Privacy and Fraud situations to Risk Managemen

  • Innovation & Process Improvement_
  • Collaborates and partners to continually improve processes and identify efficiencies.
  • Proactively identifies opportunities for process improvement.
  • Coordinates the preparation and updating of Centralized Services related documents and partnering with Learning and Development around related training

Requirements_*- Post-secondary business degree or diploma

  • 34 years' related experience
  • Excellent attention to detail
  • Proven good communication and followup abilities
  • Demonstrated commitment to the member experience
  • Proactive nature with an eye for process improvement
  • Equivalent combination of the above may be appropriate
