The Faculty of Information at the University of Toronto is a research-led Faculty, educating the next generation of leaders in information scholarship and the information professions, both established and emerging.

Your opportunity:


The Registrarial and Student Services team is the student-facing administrative unit that consists of Recruitment and Admissions, Registrarial and Advising Services.

Reporting to the Assistant Dean, Registrarial and Student Services, the Advisor & Program Administrator is responsible for advising students in all programs at the Faculty and provides course enrolment, program and events coordination, and records management for the programs in the Faculty.

As a member of the Registrarial and Student Service team, the incumbent would work collaboratively with colleagues while taking initiative to address program and administrative issues with mínimal direction.

The incumbent will work closely with the PhD program director and the Associate Registrar, Student Services and Admissions in program and policy development and support.


Your responsibilities will include:


  • Advising students on academic and/or financial matters by providing options and consequences incorporating personal circumstances impacting academic success and an understanding of an individual's background
  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Advising on the appropriateness, precedents and process for petitions and appeals, and suggesting alternative course of action as necessary
  • Ensuring that procedures and/or guidelines are followed
  • Providing proactive support to individuals in distress and making referrals to specific university services
  • Leading seminars and/or workshops
  • Analyzing and making recommendations on award funding allocation

Essential Qualifications:


  • Bachelor's degree or acceptable combination of equivalent education and experience
  • Minimum four years of recent and relevant experience in student advising and program administration/coordination in post secondary
  • Experience applying, interpreting and advising on academic guidelines and procedures at both the graduate and undergraduate level
  • Experience working directly with students to provide program and student services information, including admissions, registration, course enrollment, degree requirements, awards, and final exams
  • Experience providing program administration including administering fee deferrals, course enrolment, timetabling, course evaluations, grades, final exams, and petitions
  • Experience analyzing and making recommendations on awards and scholarships, and graduate funding packages
  • Experience advising faculty on appropriate academic guidelines and procedures, and maintaining workflows
  • Experience creating and maintaining databases, and experience extracting, analyzing, and arranging relevant information in reports to inform decision making
  • Demonstrated ability to prioritize in a flexible way, and successfully meet deadlines with competing priorities and interruptions
  • Demonstrated experience recommending process and workflow improvements
  • Experience with student support focused event planning and coordination
  • Experience writing student newsletters, and updating website content
  • Advanced skills in ROSI, ROSI Express, Quercus, Slate, eMarks, or similar student systems to enter data, retrieve information, and generate reports
  • Proficiency in Office 365 suite (Word, Excel, PowerPoint, Outlook, OneDrive) and SharePoint
  • Highly developed presentation and written communication skills
