Description
The
Executive Assistant is responsible for providing essential support and managing the day-to-day needs of the CEO and Executive Management team.
The Executive Assistant ensures the success of the CEO and REDLAB by maintaining high levels of organization, time-management, tact and confidentiality.
Responsibilities:
- Provide general administrative support to the Executive Management team
- Act as the point of contact among the CEO, Executive Management, clients and external partners
- Manage the CEO's calendar and coordinate appointments based on business and travel schedules
- Make travel and accommodation arrangements
- Act as administrative support for Sales team
- Provide meeting support (scheduling, agendas, minutes, action items)
- Support project management for special projects as needed
- Act as backup for Office Coordinator duties (reception, client services and office inventory)
- Draft and send communications on behalf of CEO and Executive Management team
- Collaborate with the HR team and Office Coordinator on the planning and organization of companywide events
- Coordinate sponsorships with various industry partners on behalf of the company
- Support the organization and processing of company expenses
- Other duties as assigned by the CEO and Executive Management team
Requirements:
- At least 1 year of previous experience as an Executive Assistant, Personal Assistant or similar role
- Excellent communication and interpersonal skills
- Strong organizational skills
- Ability to manage multiple tasks at once while remaining efficient
- Understanding of film, television, advertising or media industry preferred
- Experience with Google Suite and/or Microsoft Office preferred
