JOB DESCRIPTION

Duties:


  • Implements training records management and document control policies, procedures and
processes, including records related to departmental needs and regulatory proceedings.

  • Maintains a master and any secondary records management and document systems for training
related documents and records, including electronic / hard copy, multiple formats and central /off
- site. Catalogues, classifies and indexes document and records and ensures quality control,
consistency and accuracy in document and records management system as required.

  • Maintains the online and physical "libraries" of records and ensures the physical layouts are
arranged in a user-friendly manner.

  • Provides technical advice, guidance and training to the Training group on records management
and document control policies, procedures and best practices. Maintains records management
and document job aids and other resources for Training group.

  • Works under the guidance of the Freedom of Information Coordinating Office (FOICO) in the
tracking system and request-answering procedures to ensure compliance with BC Hydro's
statutory and policy obligations regarding privacy protection.

  • Prepares budget estimates and provides input to the records management budget. Oversees the
work of consultants engaged to perform records management and document control duties.

  • Processes material and purchase requisitions. Reviews invoice coding, processes and routes
invoices to management for approval. Works with vendors and Procurement/Accounts Payable to
resolve issues with invoices and requisitions.

  • Performs duties of a minor nature related to the above duties that do not affect the rating of the
job.


Qualifications:

***- High school graduation plus additional training in a related field such as records management,

library operations, or electronic document management.- Two (2) years of related records management experience (includes handling all aspects of

information request management) in an administrative role.- Requires completion of in-house web authoring courses; or must be completed within three (3)

months of starting in the job.

This position is affiliated with the Movement of United Professionals union (MoveUP/COPE).

  • Please note this position will be posted internally and externally concurrently
  • Works in a normal office environment.
  • This is a Group 6 MoveUP Fulltime Temporary (FTT) opportunity for approximately 18 months
based at the Trades Training Centre in Surrey.

  • As part of the selection process, applicants may be required to take a written test/assessment.
  • Please note the Trades Training Centre (TTC) is not as convenient to reach by public transit so
having a vehicle would be an asset for commuting to work however not required.

Skills, Knowledge and Abilities Required:

  • Understanding of records management and document control practices for managing a variety of
mediums including paper and electronic records.

  • Working knowledge of an electronic document management system.
  • Knowledge of web authoring with the ability to layout and maintain websites.
