BANQUET OFFICE MANAGER


The Banquet Office Manager will be responsible for coordinating administrative tasks, fostering excellent guest service and work environment, as well as supporting the Banquet Manager and Team to ensure successful and memorable banquet events.

The position is primarily office-based administrative responsibilities but occasional Banquet floor support during events, requiring a dynamic and adaptable individual who can excel in both settings.


RESPONSIBILITIES:


  • Oversee administrative duties for the Banquet Department, ensuring accurate, smooth and efficient operations.
  • Provide the Banquet Team with accurate supportive documents for an effective Event Phase
  • Maintain awareness of upcoming groups and major conventions over the upcoming days to effectively plan operation and allocate resources.
  • Attend all event order meetings
  • Oversee staffing needs for upcoming events, including scheduling, communication with Associates, and making necessary adjustments, update records.
  • Engage with all Banquet Associates, ensuring open communication, foster respect, trust between all parties, solve conflicts, and offer mentorship in order to create the best work environment possible.
  • Ensure grooming standards of team members are met and provide necessary support and guidance to the banquet team.
  • Participate in the recruitment and onboarding of new Associates as well as performance management and terminations.
  • Verify, and validate payroll for the Banquet Team.
  • Update daily event staffing, analyze event needs, and prepare weekly schedule properly balancing needs to achieve the best level of service possible and also meet our financial targets.
  • Prepare communicate and monitor needs for external staff agency support
  • Monitor banquet supplies inventory and process orders whenever needed to ensure continuous needs are met
  • Create incentives to enhance guest service, increase banquet revenue.
  • Develop training programs, effectively train and coach all team members to maintain a high level of service and professional development.
  • Implement new systems SOPs, and methods to continuously improve service standards and efficiency.
  • Coordinate with the Banquet Chef to confirm quantities of food items, menu dietary details and timing of food leaving the kitchen.
  • Cultivate and maintain strong client relationships, ensuring that all event specifications are met and client expectations are exceeded.
  • Assist in overseeing and inspecting the cleanliness and maintenance of all function spaces, public areas, and service areas of all banquet areas.
  • Act proactively, promptly and professionally to rectify any problems that may arise during events.
  • Oversee all Banquet Office Coordinators.
  • Participate in preshift briefings
  • All other assigned duties
  • On an adhoc basis, you may be required to lead the banquet operation Front of House

QUALIFICATIONS:


  • Minimum total of 3 years of experience working in a Banquet department overseeing or coordinating events, and 1 year minimum in a food and beverage operation administrative capacity.
  • Previous experience in a highvolume food and beverage establishment is essential.
  • Strong working knowledge of Microsoft Office programs, including Excel and Word, as well as catering systems like ISAC or CI/TY, and Micros system.
  • Excellent organizational, administrative, and communication skills, both verbal and written.
  • Exceptional guest service skills, strong leadership capabilities, professional presentation, and excellent interpersonal skills.
  • Serving it Right certification is preferred.
  • Friendly, enthusiastic, salesoriented personality, able to work well under pressure and as part of a professional team.
