Career Opportunity:
We have an exciting opportunity for a
Project Administrator within our
Saskatchewan office.
Recently, Magna IV has been tasked with completing a multi year project which includes field and design support for a North American utility that includes a requirement of data compilation of data collected and design documentation of approximately 40,000 power poles.
Accountabilities:
The accountabilities of this Administrator position fall under two primary areas of support, with typical tasks as outlined below:
- Project Specific Administrative Support_
- Assist with permitting and uploading process for Magna IV designs to an electrical utility online portal.
- Assist with compilation and organization of data received from field workers and inoffice design staff.
- Work closely with the Project Manager and Design Lead in order to complete administrative duties as required.
- Assist with data compilation for monthly invoicing requirements.
- Assist with A/R follow up on outstanding invoicing
- Preparation of monthly project costing and WIP reports.
- Preparation and upkeep of monthly project tracking reports for review by the Project Manager and Design Lead.
- Secondary Administrative Support (if/when required)_
- Assist in preparing quotes, reports, data books, construction packages, document review packages, tender packages and quotation documentation for engineering and technical teams
- Assist with technical report writing, editing and formatting
- Support preparation of proposals to include all pertinent information such as employee resumes, statement of qualifications, etc.
- Handle internal inquiries requiring investigation and followup
- Preparation of binders, USB's and labels for clients
- Create, format and edit various files including Microsoft Office and pdf documents
- Schedule and organize meetings, including facility arrangements, teleconferencing and Teams set up
- Accurately enter data into of a wide range of documents including client orders, technical reports, and various software programs
- Manage other project related documentation
- Execute project related logistics
- Coordinating couriers and shipments of letters/documents
- Assist to coordinate scheduling, maintenance and communication of toolcrib needs and utilization activities
- A/R Collections
- Review of Project WIP at month end
- General Office Administrative Support_
- Coordinate project specific travel arrangements (flights, hotels and car rentals)
Required Skills and Qualifications:
- 2 5 years of administrative experience
- Experience working in an Engineering, Field Services, or other professional environment would be a definite asset
- Document Control experience is an asset
- Advanced experience with Bluebeam and Adobe
- Excellent accuracy and attention to detail mandatory
- Strong writing and editing skills
- Strong problem solving skills, and the ability to work with mínimal supervision
- Must be able to work in a dynamic work environment
